Position Overview

In this role, you will provide advanced administrative support in coordinating day-to-day operations for a department or division office. Note: This position is 100% onsite for training and may convert to hybrid after training.
Key Responsibilities
- Relieve the supervisor of various administrative duties, coordinating day-to-day office operations and suggesting procedural improvements.
- Prepare or assist in preparing grant applications, budgets, manuscripts, and book chapters, ensuring proper format and completeness.
- Serve as a liaison with departments such as Human Resources, Telecommunications, Physical Plant, Purchasing, and Accounting by preparing both online and paper documents.
- Coordinate complex projects and reports that require communication with multiple departments and external organizations, utilizing various computer applications.
- Compose and type letters, memorandums, and other moderately complex correspondence independently.
- Maintain sub-ledgers and ledgers for various accounts, including reviewing expenditures, reconciling accounts, and ensuring proper use of funds.
- Plan and coordinate events such as meetings, conferences, seminars, and workshops, managing logistics like venues, accommodations, transportation, and finances.
- Take, transcribe, and distribute meeting minutes.
- Transcribe dictation, ensuring correct formatting, grammar, punctuation, and spelling—particularly for medical or scientific terminology.
- Perform other duties as assigned.
Required Qualifications
- High School Diploma or GED: (or higher education in lieu of the minimum requirement).
- A minimum of: 3 years of related secretarial/administrative experience.
