Job Description
Position Overview
This position supports the needs and activities of the Marketing and Communications team through digital communications, marketing communications and media support, and administrative/operational support.
Key Responsibilities
- Provide support for special events – including vendor bookings and management, event research, maintaining RSVP lists, preparing supplies, and supporting internal meetings and communications.
- Manage the media list and track all media mentions.
- Coordinate speaker activities, including identifying, training, and scheduling speakers.
- Manage success story photo/video shoots and maintain a success story database.
- Serve as the organization photographer or support a professional photographer for events and marketing shoots.
- Perform research to inform marketing and communications strategies, tactics, and KPIs.
- Coordinate the development and distribution of the biweekly internal email, Monday Message.
- Manage the distribution of marketing emails and invites – including timeline management, list setup, template-building, data review, and securing content approvals.
- Serve as an internal trainer for creating and using marketing lists in CRM platforms (StratusLive and DotDigital).
- Support digital marketing, including social media and website needs.
- Facilitate requests and manage the inventory of marketing collateral, promotional items, and brand materials.
- Maintain marketing team storage areas and organize digital/physical files such as logos, photos, and videos.
- Schedule and send meeting notices, maintain the department calendar, prepare meeting rooms, take/transcribe minutes, and provide day-of support.
- Oversee office supplies by monitoring inventory, placing orders, and verifying receipt.
- Request and manage outside-vendor estimates and process invoices.
- Manage the requisition process for department credit cards.
- Assist in recruiting and supervising marketing interns.
- Provide front desk support when needed.
- Perform additional duties as assigned by the supervisory team.
Required Qualifications
- Minimum of two years of marketing support experience in an agency, nonprofit, or corporate environment.
- Excellent oral and written communication skills with a high level of attention to detail and strong problem-solving abilities.
- Proven organizational, time management, and project management skills.
- Advanced proficiency in Microsoft Office (Teams, Outlook, Word, Excel, PowerPoint) and familiarity with video conferencing tools.
- Ability to work under pressure in a fast-paced environment with flexibility for evenings, weekends, and variable shifts.
- Must pass a background check and pre-employment drug screening; staff who drive for United Way are required to have a valid driver’s license and current automobile insurance.
- Strong customer service skills and the ability to build rapport with diverse internal and external audiences.
- A self-starter mentality with a sense of urgency and the ability to work independently.
Preferred Qualifications
- Undergraduate degree is preferred.
- Knowledge of graphic design, photo-editing, Adobe Creative Suite, website content management, and email marketing tools.
