Job Description

Position Overview

Geneva Worldwide, Inc., a dynamic New York City–based company specializing in language services and business support, is seeking an Administrative Assistant for its Government Contracts & Services team. In this full-time remote role (work from home anywhere in the US), you will support the Director of Government Contracts & Services and the Contracts Manager in day-to-day administrative functions and project-based assignments. This position offers exposure to contracts, bidding processes, and the language services industry. Schedule: Monday through Friday, 8:00 AM – 5:00 PM Eastern Time.Compensation: $40,000–$48,000 annually with performance-based bonus potential.

Key Responsibilities

  • Assist with tracking, organizing, and responding to Requests for Quotations (RFQs) and proposal-related tasks
  • Manage and maintain electronic file systems for RFQs and contracts
  • Coordinate with vendors to establish new telephonic accounts for clients
  • Send onboarding communications to new agencies and maintain up-to-date contact records
  • Collaborate with internal departments to gather responses for Q&A on solicitations
  • Prepare and send Freedom of Information Law (FOIL) requests for lost proposals
  • Request rate quotes from executives or department heads for submissions
  • Contribute to proposal creation and submission by compiling documentation and formatting content
  • Update and manage contract trackers, internal databases, and reporting spreadsheets
  • Support ad hoc projects such as outreach campaigns and internal audit initiatives

Required Qualifications

  • 1–3 years of experience in an administrative or support role
  • Bachelor’s Degree required
  • Advanced proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, Teams)
  • Exceptional attention to detail and accuracy in data entry and formatting
  • Strong time management skills and the ability to prioritize and meet strict deadlines
  • Excellent business writing and email communication skills
  • Ability to work independently while collaborating effectively across departments
