The Site Supervisor oversees day-to-day operations at each assigned site to ensure that patient care activities are supported and quality of care, efficiency, customer service and associate engagement are consistently maintained at a high level. This role focuses on continuous improvement of quality and patient care while collaborating with staff and providers to meet standards and organizational objectives.

Key Responsibilities

  • Supports clinic team members to provide excellent service
  • Follows, monitors, knows and holds others accountable to administrative policy and procedures
  • Partners with the practice manager to solicit, record, review, and implement suggestions for improving clinic procedures utilizing established processes
  • Organizes and conducts staff meetings and huddles in support of, and in collaboration with, the practice manager
  • Supports the practice manager in managing financial statements and measures including profit and loss, reviewing and guiding productivity to ensure service meets established expectations
  • Establishes appointment schedules and maintains smooth patient flow
  • Oversees walk-in and triage processes
  • Ensures that MSDS sheets for all chemicals utilized or located in the clinic are maintained properly, collaborating with facilities as needed, and supports employee adherence to safety standards and education regarding hazardous materials
  • Supports timely completion of end of day, month, quarter, and year-end processes as appropriate
  • Maintains, monitors, and accounts for petty cash and change funds if applicable
  • Ensures the safety of all staff and customers
  • Verifies that all equipment in the facility (medical, technical, and office equipment) is accounted for and in proper working condition
  • Coordinates with providers to maximize productivity and efficiency
  • Ensures and monitors HIPAA compliance and patient confidentiality
  • Ensures that proper computer policies and procedures are followed
  • Meets with employees regularly to discuss knowledge, skills, proficiency and compliance with standards
  • Completes employee evaluations and disciplinary actions in accordance with NVHC policy and procedure
  • Creates a positive work environment and handles grievances
  • Interviews and hires ‘A’ talent employees in accordance with organizational procedures
  • Schedules personnel and coordinates earned time off (ETO) and coverage for clinic and program staff
  • Monitors worked hours and approves timecards while overseeing scheduling to maximize productivity and manage overtime
  • Conducts or coordinates employee and volunteer training as needed
  • Collaborates with ancillary teams and management for oversight of ancillary staff on-site
  • Assists the practice manager and billing/coding leadership in ensuring staff follow correct billing practices
  • Ensures cleanliness of the work environment at all times
  • Ensures compliance with HRSA requirements for Federally Qualified Health Centers, HIPAA, OSHA, and other regulatory agencies, and keeps abreast of new developments in healthcare regulation

Required Qualifications

  • Associate degree or professional degree in a healthcare related field
  • 2 years’ experience in a healthcare environment
  • BLS/CPR certificate

Preferred Qualifications

  • Two years’ experience providing leadership/supervision in a medical practice environment highly preferred
  • Knowledge of clinical policies and procedures, standards and regulations
  • Knowledge of administrative functions of a medical clinic
  • Familiarity with EHR and performing data analysis and reporting
  • Ability to lead others and exercise sound independent judgment in appraising situations and making decisions
  • Ability to work in a fast-paced environment
  • Ability to communicate effectively via written and verbal methods
