Job Description

Position Overview

The Executive & Marketing Associate is an entry-level role designed to provide comprehensive administrative and marketing support to a dynamic financial planning firm. This individual will manage day-to-day office operations, maintain client records, coordinate schedules and meetings, and support the firm’s marketing efforts. Job Type: Full-time. Compensation: $35,000.00 - $45,000.00 per year. Work Location: In person.

Key Responsibilities

  • Provide administrative support to advisors and leadership, including calendar management, scheduling, and inbox oversight.
  • Maintain client records in CRM to ensure accurate demographic information, client onboarding, and segmentation data.
  • Maintain compliance documentation, special-purpose mailboxes, and logs (gifts, donations, licenses).
  • Oversee office operations such as reception & mail, vendor management, licensing renewals, and software systems upkeep.
  • Implement client communication strategies including emails, newsletters, event invitations, and campaign outreach.
  • Coordinate team meetings and engagement activities.
  • Maintain marketing collateral by partnering with internal compliance teams (brochures, presentations, social media content, website, email campaigns, etc.).
  • Assist with digital presence including website management, e-marketing, and social media channels.
  • Coordinate client appreciation and prospecting events, including logistics, invitations, and follow-up campaigns.

Required Qualifications

  • Professional, values-driven, and team-oriented work ethic.
  • Excellent written, verbal, and interpersonal communication skills.
  • Proficiency in Microsoft Office, Adobe Acrobat, CRM systems, and social media platforms.
  • Highly organized with exceptional attention to detail and ability to multitask in a fast-paced environment.
  • Demonstrated ability to collaborate and manage competing priorities.
  • Degree or equivalent experience in Marketing, Communications, Business, or a related field.

Preferred Qualifications

  • Experience in financial services, insurance, or professional services.
  • Familiarity with graphic design tools (Canva, Adobe Creative Suite) and marketing automation platforms.
  • Knowledge of compliance processes and industry regulations.
