Job Description

Position Overview

We are seeking an OFFICE ASSISTANT INTERN for the Jobs Plus Program. This is a 12 Month Part-Time (20hrs per week) Project Position offering a competitive Compensation: $14.00 - $18.00 per hour. (Applicants must be a West Oakland Public Housing Resident to Apply.) Under close supervision, you will perform a variety of clerical work and support various Authority Departments.

Key Responsibilities

  • Answer and direct phone calls, voice mail, and e-mail; greet visitors, clients, and staff; respond to general questions; refer inquiries as appropriate; take messages; distribute forms and explain their completion; provide information on Authority programs and referral services.
  • Update and maintain filing systems, including confidential files; set up new files; receive, pull, and file documents and records.
  • Type correspondence, reports, memos, forms, and related materials with accuracy, completeness, and in compliance with departmental procedures.
  • Input, update, search, and retrieve data using spreadsheets, computer databases, and various automated systems.
  • Meet with residents to promote the Jobs Plus and other Authority programs.
  • Refer residents to available programs and outside resources, serving as a liaison between residents and service providers.
  • Open, date, screen, sort, route, and process mail.
  • Prepare information packets and packets of required forms; maintain client/public information, fact sheets, and supplies.
  • Schedule appointments and maintain a calendar for program participants.
  • Schedule meetings and make arrangements such as contacting participants, reserving rooms, and assembling materials and documents.

Required Qualifications

  • Graduation from high school or GED, with one year of verified clerical experience.
  • Must be a Public Housing resident on the lease at one of the following sites: Peralta Villa, Campbell Village, Chestnut and Linden Court, Mandela Gateway.
  • An equivalent combination of education, training, and experience will be considered.
