Position Overview
We are a law firm focused on providing clarity, structure, and support during life’s most challenging transitions. Our practice emphasizes well-being for both our clients and team members, ensuring a professional yet compassionate approach to estate administration and probate matters. As a Paralegal for Estate Administration/Probate, you will manage a high volume of estate cases, guiding clients through probate filings, trust administration, and asset distribution. You will collect essential documents, identify potential obstacles, develop strategic solutions, and ensure estates are closed efficiently. This full-time, 1099 contract position includes a 3-month probationary period, requires 40 hours per week, and offers flexibility to work from our Glenview, IL office or remotely (must be US based).
Key Responsibilities
- Client Coordination & Communication: Lead clients step-by-step through estate settlement, probate filings, and trust administration, keeping them informed via phone, email, and Zoom.
- Case Strategy & Organization: Collaborate with an attorney and another experienced paralegal to develop comprehensive case declarations and maintain organized files and progress checklists.
- Document Collection & Preparation: Gather and review all necessary documentation (e.g., 1099s, Social Security statements, home sale records) and coordinate with banks, the IRS, and other institutions.
- Problem-Solving & Process Improvement: Anticipate potential challenges, propose creative compliant solutions, and streamline estate administration processes.
- Compliance & Reporting: Track critical deadlines, ensure timely filings (tax returns, court submissions, closing statements), and maintain accurate records.
- Team Collaboration: Participate in weekly meetings to discuss case progress, troubleshoot challenges, and offer feedback to enhance workflows and the overall client experience.
Required Qualifications
- Experience as a paralegal, legal assistant, or case manager, preferably in probate/estate administration.
- Strong organizational and communication skills with the ability to manage multiple tasks in a fast-paced environment.
- Proven problem-solving abilities with a creative, methodical approach to case-related challenges.
- A positive and proactive mindset dedicated to helping clients navigate stressful circumstances.
- Comfortable with legal case management systems, email communication, and quick adaptation to new software tools.
