Job Description

Position Overview

Vanguard College Prep is seeking a fun and energetic self-starter to serve as a Customer Service Representative. In this role, you will be the central communication point between staff, students, and parents, while supporting administrative functions and developing strong client relationships. Vanguard bridges the gap between high schoolers and successful college students by revolutionizing afterschool education and preparing students for standardized tests and college counseling.

Key Responsibilities

  • Acts as the focal point of information between staff, students, and parents.
  • Handles all incoming calls – from new clients, existing clients, or messages.
  • Assists in developing relationships with existing clients.
  • Reports staff, client, vendor, and subcontractor issues to Directors.
  • Develops, implements, and refines office systems and procedures.
  • Reads and responds to all work-related emails.
  • Answers phone calls and directs callers to the appropriate contact.
  • Manages the company calendar, appointments, and client schedules.
  • Schedules appointments for Directors.
  • Organizes and composes office correspondence, documents, and reports.
  • Supports sales and production efforts.
  • Posts company-related content on social media platforms.
  • Handles communications such as thank-you notes and referral gifts.
  • Reviews daily/weekly schedules with Directors.
  • Participates in staff meetings as needed.
  • Ensures the company’s public image remains consistent with branding.
  • Provides marketing assistance.

Required Qualifications

  • Excellent organizational and time management skills.
  • Self-starter who performs well with minimal supervision and under pressure.
  • Strong verbal and written communication with professional etiquette.
  • Proficient in IOS, Windows, MS Office Suite, and G-Suites.
  • Bachelor's Degree or higher.
  • Must have a computer running Windows 10 or Catalina MacOS.
  • Must have a video camera, high-speed internet (above 20mb/s), and a quiet home working space.
