As an Events Coordinator at LJA Business Solutions, you perform specialized event coordination and employee engagement activities within the Marketing Department for the Central Texas region (Austin, Round Rock, New Braunfels, and San Antonio Offices), requiring little supervision. This role is vital in managing, planning, and executing events while supporting the marketing and communications team, ensuring smooth event operations and providing a top-notch client and employee experience.
Key Responsibilities
- Motivated self-starter with strong interpersonal and organizational skills who requires little supervision.
- Performs specialized event coordination activities for the marketing department to support LJA sectors in the Central Texas Region.
- Organizes special events and employee engagement activities for the Central Texas Region, focusing on all entertainment logistics.
- Supports all offices in the region with monthly engagement activities and internal charity and diversity groups.
- Manages timelines and deadlines to ensure tasks are completed prior to events.
- Creates event outlines and coordinates planned events from start to finish.
- Maintains records by tracking associations, chambers, sponsorships, and all event-related budgets and organization, with regular updates shared region-wide.
- Handles extensive vendor, client, and LJA PM/VP contacts as needed for event coordination.
- Assists in the selection, ordering, and inventory of promotional materials specific to each event.
- Works independently under specific objectives.
- Supports the firm’s business development through client focus.
Required Qualifications
- Education: College Degree preferred
- Experience Required: 3+ years of corporate experience, preferably in event planning
- Computer skills required: proficiency in Word, Outlook, Teams, Excel, and PowerPoint. Training for monday.com and Unanet CRM can be provided.
- Excellent verbal and written communication skills.
- Ability to sit for extended periods while working on a computer.
- Capability to lift up to 20 lbs for event setup.
- Willingness to assist with event setup and tear-down, including occasional evenings and weekends.
- Ability to travel for conferences and events as needed.
- Strong interpersonal and organizational skills with efficient time management.
- Professional demeanor and appearance with adequate project management capabilities, including goal setting, multitasking, and prioritization.
- Good data analysis, problem-solving, and critical thinking skills.
