Job Description

Position Overview

The Staff Accountant is a full-time, 32-hour per week key member of the Administration team responsible for overseeing payroll, accounts payable, accounts receivable, and in-kind donations. This role collaborates closely with the accounting team and program leadership to ensure timely, accurate financial reconciliations and adherence to generally accepted accounting principles.

Pay Range: $31.17 - $38.00 per hour | Type: Hybrid | Work Location: In person

Key Responsibilities

  • Ensure compliance with generally accepted accounting principles while performing and assisting with accounting transactions.
  • Review and post payroll, accounts receivable, and accounts payable entries.
  • Analyze and reconcile balance sheet accounts to maintain financial accuracy and integrity.
  • Maintain records for capital assets including additions, disposals, depreciation, amortization, and record gains or losses on disposals.
  • Set up new customers and vendors in the accounting systems.
  • Oversee accounts receivable and accounts payable balances to ensure all accounts are current.
  • Assist with audits by providing necessary data and documentation for annual and programmatic audits.
  • Prepare journal entries and reconciliations to support month-end and year-end close processes.
  • Monitor in-kind donations.
  • Assist in preparation of financial analysis as required.
  • Monitor distribution codes and allocations for programs and grants.
  • Assist with additional accounting functions as assigned by the Controller.
  • Oversee all credit card reconciliations and postings to the general ledger.
  • Conduct time sheet and credit card training for new staff.
  • Assist in revising Finance Policies and Procedures as necessary.
  • Manage vendor relationships and resolve billing issues.
  • Attend meetings and trainings as needed.
  • Enforce proper internal control procedures to safeguard company assets and maintain confidentiality on sensitive matters.
  • Perform other duties as assigned.

Required Qualifications

  • AA degree in Accounting or Business is required.
  • Experience with Sage MIP or similar accounting software.
  • Solid knowledge of GAAP in non-profit accounting and financial reporting.
  • Payroll experience (previous experience with Paychex is preferred).
  • Proficiency with Microsoft Excel and Word.
  • Ability to interact positively with a varied clientele in-person and over the phone.
  • Proven initiative in anticipating agency and management needs.
  • Excellent problem-solving skills and high attention to detail.
  • Ability to complete complex assignments independently.

Preferred Qualifications

  • Bachelor’s degree from an accredited university/college is preferred.
  • At least two years of accounting experience in a nonprofit environment.
  • Bilingual in English and a language spoken by DLEC families (e.g., Spanish, Amharic, Cantonese, Vietnamese) is a plus.
