We are seeking a detail-oriented and reliable Human Resources & Payroll Specialist to join our team part-time, 25 hours per week, on Wednesdays, Thursdays & Fridays. This role is responsible for managing payroll processes, supporting HR functions, and ensuring compliance with DOT and OSHA as well as company policies and applicable laws. The ideal candidate is organized, confidential, and comfortable working with sensitive employee data.

This position will also oversee company vehicle operations while ensuring a safe and compliant work environment. This role is responsible for maintaining fleet efficiency, enforcing safety protocols, and ensuring compliance with DOT and OSHA regulatory standards. The ideal candidate is highly organized, safety-focused, and experienced in fleet operations and workplace safety programs.

We are currently located at 3812 Division S Grand Rapids, but will be relocating to 1255 Lake Michigan Drive (between 8th Ave & 14th Ave, adjacent to Ammon Park) in June.

Key Responsibilities

Payroll Administration

  • Process weekly payroll accurately and on time
  • Maintain payroll records, including wages, deductions, and benefits
  • Ensure compliance with federal, state, and local payroll regulations
  • Resolve payroll discrepancies and respond to employee inquiries

Human Resources Support

  • Assist with recruitment, onboarding, and offboarding processes
  • Maintain employee records and HRIS systems
  • Support benefits administration, including enrollments and changes
  • Ensure compliance with labor laws and internal HR policies
  • Unemployment administration

Reporting & Compliance

  • Prepare payroll and HR-related reports for management
  • Assist with audits and ensure proper documentation
  • Stay updated on changes in employment laws and payroll regulations

Fleet Management

  • Oversee daily operations of company vehicles and equipment
  • Schedule and track preventative maintenance and repairs
  • Manage vehicle records, registrations, inspections, and insurance
  • Monitor fuel usage, driver behavior, and fleet performance metrics
  • Ensure compliance with DOT and other transportation regulations
  • Coordinate vehicle acquisition, replacement, and disposal

OSHA Safety & Compliance

  • Develop, implement, and maintain workplace safety programs
  • Ensure compliance with OSHA standards and regulations
  • Conduct regular safety audits, inspections, and risk assessments
  • Investigate accidents and incidents; implement corrective actions
  • Maintain OSHA logs and required safety documentation
  • Serve as the primary point of contact for safety-related matters

Qualifications

  • 2+ years of experience in payroll and/or HR roles
  • Knowledge of payroll systems and HRIS platforms
  • Strong understanding of labor laws and payroll regulations
  • High attention to detail and accuracy
  • Strong organizational and time-management skills
  • Ability to handle confidential information with discretion
  • Familiarity with DOT regulations and fleet management systems
  • Strong knowledge of OSHA standards and safety compliance requirements

Preferred Qualifications

  • Certified Payroll Experience
  • Experience with Paylocity
