Job Description

Position Overview

The primary purpose of this position is to perform clerical support in an efficient manner in accordance with established procedures and as directed by your superior. As the receptionist, you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties.

Key Responsibilities

  • Operate paging and telephone systems; answer calls, determine their nature and direct them to the appropriate individual or department.
  • Greet visitors, provide directions, manage sign-in/sign-out procedures, and ensure compliance with established policies.
  • Process incoming and outgoing mail, operate office machines (copier, fax, stamp/mail machines) and computers, and assist with filing and typing as needed.
  • Maintain confidentiality of all resident and facility information and support human resource functions as required.
  • Handle financial transactions including receipt of payments, issuing of receipts, and maintaining related documentation.
  • Follow emergency and disaster procedures, ensure safety and sanitation standards, and report any equipment malfunctions or hazardous conditions.
  • Attend in-service training and continuing education programs to support staff development and maintain a positive environment throughout the facility.
  • Uphold resident rights by ensuring privacy, proper identification practices, and respectful treatment of residents, visitors, and staff.
  • Maintain work areas and administrative supplies, ensuring cleanliness and proper equipment usage during and after work hours.

Required Qualifications

  • Education: Must possess, as a minimum, a 12th grade education or its equivalent.
  • Experience Required: Must have at least 2 month(s) of experience in a clerical position or have successfully completed a secretarial science program from an accredited school/college.
  • Must possess and maintain an "Eligible" ACHA Background Screening status and be able to read, write, speak, and understand the English language.
  • Must demonstrate the ability to make independent decisions in emergency situations, work harmoniously with others, and adhere to administrative practices and HIPAA privacy guidelines.
  • Must be proficient with computers (including operating a multi-line telephone system, copy machine, fax machine, and 10-key calculator) and able to type at least 30 words per minute.
  • Must maintain respect for residents, employees, and visitors, ensuring the quality of service and protection of residents' rights at all times.
  • Must be physically capable of moving throughout the work area, handling mental and emotional stress, and meeting physical requirements (including lifting a minimum of 35 lbs over short distances and assisting with emergency evacuations).
