Position Summary
The Marketing and Events Coordinator is responsible for executing all firm marketing events and managing the qualification and follow-up process to ensure advisors are meeting with the right individuals. This role attends events, conducts qualification calls, manages post-event follow-up, and supports conversion from prospect to engaged client. This position requires strong communication skills, high attention to detail, and the ability to manage multiple priorities in a fast-paced, client-facing environment.
Key Responsibilities
Event Planning and Execution
- Coordinate and attend all marketing and client-facing events.
- Manage event logistics including invitations, registrations, and onsite execution.
- Ensure events align with the firms elevated brand and client experience standards.
Qualification and Follow-Up
- Conduct qualification calls with prospects and referrals.
- Complete timely follow-up calls and communications after events.
- Ensure appropriate scheduling with advisors based on prospect fit and readiness.
Advisor and Team Coordination
- Work closely with advisors to prepare for meetings and events.
- Maintain accurate CRM records and tracking of prospects.
- Support a smooth handoff from marketing to advisory teams.
Marketing and Communication Support
- Assist with event-related communications, confirmations, and reminders.
- Represent the firm professionally in all client interactions.
- Utilize CRM and scheduling tools effectively to track activity and outcomes.
Execution in a High-Growth Environment
- Manage multiple events, timelines, and follow-ups simultaneously.
- Adapt quickly to changing priorities and client needs.
- Maintain professionalism, discretion, and accountability.
Qualifications
- Bachelors degree in Marketing, Communications, Business, or a related field preferred.
- Two or more years of experience in marketing, events, client service, or coordination roles.
- Strong phone presence with the ability to conduct qualification calls.
- Excellent organizational skills and follow-through.
- Comfort working in fast-paced, client-facing environments.
- Technology proficiency including CRM and scheduling platforms.
- Strong written and verbal communication skills.
