Job Description

Position Overview

The Property Operations Manager provides management, direction, and leadership, along with the Property Manager, to ensure the property is maintained and operated in accordance with KWPM objectives. The position is responsible for the various tasks involved in the overall operation of the property, including managing and developing team members.

Key Responsibilities

  • Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department.
  • Organizes and prioritizes large volumes of information and calls.
  • Acts as a liaison with other departments and outside agencies, including high-level staff such as District Managers, Vice-Presidents, Board members, and chiefs.
  • Handles confidential and non-routine information and explains policies when necessary.
  • Coordinates division of workload with the administrative assistant at the property.
  • Maintains, updates, types, and coordinates account information in the computer database.
  • Coordinates and tracks important dates and meetings, such as annual and budget meetings.
  • Ensures that all communication is handled in a professional and courteous manner, including timely responses to phone messages and e-mails within 24 business hours.
  • Ensures that all mail (i.e. Fed Ex, UPS, USPS) is picked up daily in a timely manner.
  • Assists with producing minutes for Board Meetings.
  • Assists with the preparation of Board Agendas and Board Packets.
  • Codes and enters all invoices for the community.
  • Works closely with Committees and each Committee Chairperson.
  • Assists with gathering quotes and proposals for community projects.
  • Manages daily operations of the office staff and/or other on-site team members.
  • Handles supply ordering for Maintenance, Housekeeping, and the Office.
  • Assists in posting agendas to proper physical locations and the website.
  • Ensures that Lynk and KWIC information is kept up to date.
  • Processes Vendor Packets for all vendors.
  • Monitors Vendor License and Insurance expirations.
  • Handles reservation and coordination of conference room events.

Required Qualifications

  • Active FL CAM license
  • Prior experience in a related position; a minimum of 3-year experience.
  • Bachelor’s degree
  • Working knowledge of computer and associated programs; MS Office Suite.
  • Ability to multi-task, set, and manage priorities.
  • Excellent communication and listening skills to interact with a diverse, multi-cultural population.
  • Keyboarding ability with accuracy of 45-50 words per minute.
  • Ability to function effectively in a team-organized environment.
  • Bilingual in Spanish may be required at some communities.
