You will act as the central point of contact for all office-related matters, liaising with various departments, employees, and external service providers. Key responsibilities include managing office budgets, negotiating contracts with vendors for services such as cleaning, security, and maintenance, and overseeing office equipment and supplies inventory. You will also be responsible for implementing and enforcing office policies and procedures, coordinating office moves or renovations, and ensuring a safe and welcoming environment for all staff and visitors. The ability to anticipate needs, handle multiple tasks simultaneously, and maintain a high level of professionalism is essential. Your Responsibilities

  • Oversee the daily operations of the office, ensuring a seamless and efficient work environment.
  • Manage office facilities, including maintenance, repairs, security, and cleaning services.
  • Develop and manage the office operations budget, tracking expenses and identifying cost-saving opportunities.
  • Negotiate and manage contracts with vendors for office supplies, equipment, and services.
  • Maintain inventory of office supplies and equipment, ensuring adequate stock levels.
  • Implement and enforce office policies and procedures to ensure smooth operations and compliance.
  • Coordinate office moves, renovations, and space planning as needed.
  • Manage reception services and ensure a professional and welcoming atmosphere for visitors.
  • Organize and coordinate internal and external meetings and events.
  • Ensure the safety and security of the office premises and its occupants.
  • Act as the primary point of contact for employees on office-related matters.
  • Troubleshoot and resolve operational issues promptly and effectively.
  • Manage incoming and outgoing mail and deliveries.
  • Support HR functions related to onboarding and offboarding of employees regarding office resources.

Qualifications

  • Bachelor's degree: in Business Administration, Operations Management, or a related field is preferred.
  • Experience: Minimum of 4 years of experience in office management, facilities management, or operations.
  • Proven experience: in budget management and vendor negotiation.
  • Skills: Strong organizational and time management skills with the ability to multitask.
  • Problem-solving abilities: Excellent problem-solving abilities and attention to detail.
  • Proficiency: in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Interpersonal skills: Strong interpersonal and communication skills, both written and verbal.
  • Teamwork: Ability to work independently and as part of a team.
  • Knowledge: of health and safety regulations relevant to office environments.
  • Experience: with project management is a plus.
