Position Overview

Child & Family Support Services (CFSS) is seeking a dedicated and motivated individual for the role of Quality Management Administrative Assistant in Phoenix, AZ. This full-time position supports CFSS operations statewide and is ideal for a paraprofessional looking for a rewarding career opportunity. The Quality Management Administrative Assistant will work closely with various agency programs to facilitate support functions that are crucial to the organization’s mission of partnering with families to build effective relationships and inspire hope for a positive future. The role involves organizing, renaming, and saving incoming clinical documentation; tracking and managing documentation using Microsoft Excel and Google Sheets; utilizing an Electronic Medical Record (EMR) system; and uploading documentation to the DCS records system. Effective communication with leadership, collaboration across departments and external entities, and ensuring confidentiality are key aspects of this position. The candidate must be available Monday through Friday, with potential additional hours, and will transition to a hybrid/remote work schedule after the training period.

Key Responsibilities

  • Organizing, renaming, and saving incoming clinical documentation.
  • Tracking and organizing incoming and outgoing clinical documentation using Microsoft Excel and Google Sheets.
  • Performing various functions electronically with the Electronic Medical Record (EMR) system.
  • Uploading documentation to the DCS records system.
  • Communicating with leadership regarding project status.
  • Collaborating with internal departments and external entities.
  • Ensuring confidentiality of sensitive information.
  • Performing other related duties as assigned.

Required Qualifications

  • High school diploma or GED.
  • Minimum of two (2) years of administrative work experience.
  • Proficiency in Microsoft Office programs (Word, Excel, Outlook).
  • Must be 21 years or older.
  • Valid Arizona Driver's License with an acceptable 39-month driving record.
  • Reliable transportation with proof of insurance.
  • Must submit a negative drug test.
  • Obtain an Arizona DPS Level One Fingerprint Clearance Card.
  • Complete Adult, Child, and Infant CPR and First Aid training.

Preferred Qualifications

  • Experience with Microsoft PowerPoint (1 year preferred).
  • Experience with Microsoft Excel (1 year preferred).
