Job Summary
We are seeking a proactive and detail-oriented Contract Administrator and Administrative Assistant I who resides in the United States to join our dynamic team. Responsibilities
- Draft, review, and negotiate a wide range of contracts, including vendor agreements, service contracts, and procurement documents with clarity and precision.
- Manage contract lifecycle processes using ERP systems such as PeopleSoft or similar platforms, ensuring all documentation is accurate, complete, and compliant with organizational policies.
- Oversee vendor management activities by maintaining strong relationships, evaluating performance, and ensuring adherence to contractual obligations.
- Ensure compliance with federal regulations such as the Federal Acquisition Regulations (FAR) and UCC law by conducting thorough research and applying legal standards appropriately.
- Utilize DocuSign or equivalent electronic signature tools to facilitate secure contract signing processes efficiently.
- Maintain comprehensive records management systems for contracts, amendments, correspondence, and related documentation for easy retrieval and audit readiness.
- Support business development initiatives through proposal writing, pricing analysis, strategic planning, and technical writing to enhance organizational growth opportunities.
- Collaborate with legal teams on document review and legal drafting to ensure contractual language aligns with organizational standards and legal requirements.
- Assist in change management processes related to contract modifications or procurement adjustments while coordinating with internal teams for seamless implementation.
- Conduct research on industry best practices related to procurement, vendor management, and compliance management to continuously improve processes.
Skills
- Strong knowledge of procurement procedures, vendor management strategies, and document management best practices.
- Expertise in contract negotiation, legal drafting, and contract management principles including UCC law and Federal Acquisition Regulations (FAR).
- Proficiency in records management systems and experience with ERP platforms such as PeopleSoft or similar enterprise resource planning tools.
- Excellent negotiation skills combined with the ability to review complex documents critically while ensuring compliance with applicable laws.
- Familiarity with technical writing, proposal development, pricing strategies, and strategic planning methodologies.
- Experience using electronic signature platforms like DocuSign for secure document execution.
- Ability to conduct thorough research on legal standards related to contracts and procurement processes.
- Strong organizational skills with keen attention to detail in document review and record keeping.
- Effective communication skills for collaborating across departments, including legal teams, vendors, and internal stakeholders.
