Position Summary
The Operations Logistics Coordinator is responsible for coordinating international import and export shipments via air and ground transportation while ensuring compliance with all applicable regulations and company procedures. This role will manage shipment operations from origin to destination, maintain communication with customers and overseas agents, support warehouse operations, and ensure timely and accurate processing of logistics documentation.
Key Responsibilities
- Coordinate domestic and international import/export shipments via air and ground transportation.
- Arrange bookings and coordinate freight movement with customers, shippers, carriers, overseas agents, warehouses, and third parties.
- Assist with customer quotations by working with carriers and overseas agents.
- Negotiate rates, contracts, and spot pricing with carriers and agents.
- Review freight rates to determine the most efficient and cost-effective transportation solutions.
- Create and maintain customer profiles and ensure all SOPs, processes, and documentation requirements are followed.
- Serve as the primary point of contact for import/export inquiries and customer service support.
- Track and trace shipments, provide POD confirmations, and communicate timely updates to customers and agents.
- Follow up on customer inquiries and proactively resolve operational issues.
- Initiate and manage claims for damaged or lost cargo when necessary.
- Report cargo arrival/warehouse receipts to customers and agents and communicate discrepancies to prevent cargo mishandling.
- Provide warehouses with instructions related to import/export shipments.
- Receive, review, process, and distribute import/export documentation accurately and timely.
- Ensure shipment documents are properly released to carriers, customers, agents, and government agencies.
- Coordinate with Brokerage, FTZ, Bonded Warehouse, and CFS facilities regarding cargo releases and inspections.
- Prepare and process shipping documentation including:
- Master Air Waybills (MAWB)
- Bills of Lading (BOL)
- Manifests
- Labels and export/import documentation
- Ensure shipments meet gateway cutoff times and operational deadlines.
- Ensure compliance with TSA, CTPAT, customs, and other regulatory requirements.
- Send pre-alerts to destination offices and overseas agents.
- Assist with SED filings as needed.
- Ensure accounts payable and receivable documentation is completed accurately and submitted within required timelines.
- Generate invoices and resolve billing discrepancies.
- Identify operational problems, escalate when necessary, and implement solutions to minimize customer impact.
- Assist management and team members with additional operational tasks as required.
Qualifications & Requirements
Required Qualifications
- Minimum 5 years of experience in import/export logistics, freight forwarding, or transportation operations.
- Strong experience in international freight forwarding operations involving air and ground shipments.
- Experience coordinating shipments between countries outside the United States.
- Strong knowledge of import/export documentation and logistics processes.
- Excellent customer service, communication, and problem-solving skills.
- Ability to work under pressure and manage tight deadlines in a fast-paced environment.
- Ability to work independently, make operational decisions, and resolve day-to-day logistics issues.
- Advanced computer proficiency including Microsoft Office applications.
- Bilingual English/Spanish required.
- High school diploma or GED required.
Preferred Qualifications
- Experience with FTZ, Bonded Warehouses, and CFS operations preferred.
- Inventory maintenance experience is a plus.
- Knowledge of TSA, CTPAT, and SED compliance procedures preferred.

Pay
Pay: $42,000.00 - $52,000.00 per year
