Job Description

Position Overview

Panoramic Health is seeking a Back Office Medical Assistant who reports to the office manager. This position involves both administrative and clinical responsibilities including performing check-in/check-out functions, answering phone calls, verifying insurance benefits, scheduling and confirming appointments, collecting co-pays, deductibles, and co-insurances, rooming patients, assisting with exams and procedures as directed by healthcare providers, and performing diagnostic testing.

Key Responsibilities

  • Greets patients and performs check-in/check-out procedures promptly; collects co-pays and outstanding balances, prints orders and educational materials, schedules procedures, obtains insurance and payment information, and verifies eligibility.
  • Answers phone calls in a timely manner, schedules appointments, and maintains assigned clinical inboxes in athenaClinicals, demonstrating phone etiquette in accordance with Panoramic Health standards.
  • Rooms patients and completes full patient intake including vitals, allergies, medication reconciliation, and vaccination recording; assesses patient symptoms and records data accurately in athenaClinicals.
  • Determines response priority for patient telephone calls and portal messages, consults with providers as needed, and documents interactions appropriately.
  • Collects specimens in adherence with CLIA regulations.
  • Assists with facilitating referrals to specialty care, imaging, or laboratory studies as ordered and ensures appropriate set-up for required studies.
  • Contacts patients regarding test results or instructions provided by the healthcare provider.
  • Prepares for patient office visits, organizes lab work in patient charts, and makes reminder calls for upcoming lab work.
  • Scans and attaches patient medical records and administrative documents in athenaClinicals; processes incoming faxes and flow labs.
  • May assist in preparing payment batches and maintaining accurate office cash transactions.
  • Processes medication authorizations and refills; organizes drug sample closet and disposes expired medications appropriately.
  • Reschedules patients using the automated appointment scheduling system and manages waitlists.
  • Exercises sound judgment in challenging and stressful situations.
  • May occasionally act as a trainer for other medical support staff or students.
  • Performs other duties and responsibilities as required.

Required Qualifications

  • Completion of an accredited Medical Assistant program.
  • Current Medical Assistant Certification by the American Association of Medical Assistants (AAMA) or an equivalent certification is highly preferred.
  • Current CPR certification is preferred.
  • At least 1-year of relevant medical assistant experience in a physician office.
  • Broad understanding of clinical operations and physician office practice.
  • Experience in a nephrology medical office or dialysis setting is highly preferred.
  • Proficiency with athenaClinicals electronic health record system.
  • Experience with secure clinical communication and billing applications such as PMD soft.
  • Ability to perform basic patient data entry into athenaClinicals and proficiency with Microsoft Office suite.
  • Familiarity with standard office equipment including computers, calculators, and copy machines.
  • Good command of English language usage, spelling, and punctuation.
  • Knowledge of modern office practices, materials, and procedures.
  • Understanding of medical examination, diagnostic, and treatment room procedures.
  • Knowledge of insurance requirements and procedures.
  • Familiarity with medical terminology and proficient general math skills.
  • Must comply with all HIPAA, OSHA, Compliance, and IT standards and policies.
