Job Description

Position Overview

Boldthink is seeking a highly organized, proactive Marketing Operations Assistant to support our full team with marketing execution, client coordination, and day-to-day operations. In this part-time position, you'll play a crucial role in keeping things running smoothly in a fast-paced, creative agency environment.

Key Responsibilities

Client + Internal Coordination

  • Prepare agendas, take notes, and draft follow-up summaries
  • Support scheduling for client meetings, strategy sessions, and internal check-ins
  • Update project tasks, timelines, and deliverables in our project management system
  • Assist the team with gathering client inputs, assets, and information
  • Send reminders and follow-ups to ensure nothing falls through the cracks

Marketing Support

  • Upload and schedule social media posts created by the Brand Manager or creative team
  • Format and publish email newsletters
  • Gather analytics screenshots and data for monthly reporting
  • QA social captions, blogs, newsletters, and other content for consistency and accuracy

Admin + Operations Support

  • Organize files, client folders, creative assets, and documentation
  • Sort and prioritize the CEO’s inbox and help maintain communication flow
  • Set up new client structures and internal processes
  • Handle light research requests and compile reference materials

General Support Across the Agency

  • Assist all team members with repeatable tasks that improve efficiency
  • Anticipate needs and propose solutions before they become issues
  • Keep operations running smoothly while supporting both strategic and creative workflows
  • Demonstrate a get-it-done mindset and willingness to take on various tasks as needed

Required Qualifications

  • Strong organizational skills with high attention to detail
  • Excellent written communication skills
  • Ability to work independently with minimal oversight
  • Experience with social media scheduling platforms
  • Familiarity with email platforms such as Mailchimp or Constant Contact
  • Comfort working in fast-paced, multi-project environments

Preferred Qualifications

  • Experience with Canva or Adobe Creative Suite
  • Familiarity with WordPress
  • Previous marketing or agency support experience
