GENERAL DESCRIPTION
Illinois Institute of Technology seeks applicants for the position of Department Coordinator. This person will Coordinates the athletic department budget including all purchasing procedures. Manages department transportation needs. Works with the Assistant Director of Athletics on student-worker for staffing needs. Manages projects for organization and improvement of the athletic department and recreation facilities.
The successful candidate must work well with others within the department and have a commitment to teamwork and cooperation. They will participate in department community relations and other duties assigned by the director of athletics.
COMMUNICATIONS
Strong written, verbal, electronic communications needed. Extensive student-worker interaction along with student/athlete interaction. Daily project work with coaching staff. General public interaction is limited; however, dealing with the campus community is regular. Must be able to represent the athletic department across many broad areas.
CUSTOMER SERVICE
Customer service is provided mostly to internal customers with some interaction with external customers. Cultivated relationships with current and potential students are developed through daily interaction.
Special Schedule Requirements
Nights, evenings and weekends as needed.

Education & Experience
Bachelor's degree (or equivalent combination of education and experience) required. At least 1-3 years of experience in student interaction required, preferably with student/athletes. Knowledge of enrollment, admission, and financial aid processes a plus. Budgeting experience desired.
Knowledge & Skills
Microsoft package knowledge (Word, Excel, PowerPoint). Good organizational skills. Banner knowledge and institutional purchasing knowledge. Ability to handle multiple tasks at the same time essential. Customer service experience, especially with current and potential students, a must.
SUPERVISION & BUDGET AUTHORITY
Student workers 60+ Student hours annually are significant over 12 months for often over 12 hours/day with multiple positions working concurrently. There is budget authority to approximately $500,000 with single purchases over $1000 to be approved by immediate supervisor
Physical Environment and Requirements
Shared office space with 6 other employees Ability to lift up to 20 lbs for general office product and package deliveries (less than 2% of the time).
Key Responsibility
Student Athlete services responsibilities include but are not limited to preparing invoices, reports, correspondence and other documents for the departments; administrative duties such as ordering supplies, maintaining office equipment inventory and records; monitoring report deadlines for the departments to ensure timely response. Administering all athletics event scheduling including all contracts, officials, and support staff. Coordinate payment of all officials and event support staff. Preparation of check requisitions and purchase orders

Key Responsibility
Responsible for making sure the student athletes' rosters are up to date and have all the athletics attributes and updating the conference compliance certificate. Working closely with the Registrar and the Director of Compliance to assure the student athletes are receiving their pins for registration. Files the necessary compliance paperwork for all varsity sports.

Manages entire student-worker staff (60+) including training, scheduling and payroll.

Creation and submission of all paperwork for the hiring of assistant coaches.

Provides customer-oriented interaction with internal and external customers. Serves as the face of the athletic department. Answers calls and re-directs as appropriate should the matter not be immediately solved.
