Position Overview
This is a remote position. Contract: Independent Contractor. Schedule: Monday to Friday, 10:00 AM – 2:00 PM. Timezone: MST Arizona. We are seeking a reliable and detail-oriented Administrative Assistant to support daily operations at a busy customer-facing retail location. This part-time role is perfect for someone who is organized, tech-savvy, and enjoys behind-the-scenes coordination to keep a service-based business running smoothly.
Key Responsibilities
- Email Management: Monitor and respond to client email inquiries related to cancelations, event requests, or general questions. Use provided templates and instructions to gather required information and take appropriate next steps, such as updating bookings or forwarding details to the relevant team member.
- Appointment Updates: Make changes to existing appointments in the booking system as needed, based on client emails or internal direction.
- Report Generation: Run prebuilt sales and service reports (e.g., open tickets, unpaid appointments) and email them to the manager for review.
- Charitable Donations Support: Maintain and update the donations tracking spreadsheet when new requests are received by email or phone message.
- Light Administrative Tasks: Assist with other small clerical tasks as needed to keep operations organized and efficient.
Required Qualifications
- Prior experience in an administrative, retail, or front desk role
- Strong verbal and written communication skills
- Comfortable using scheduling and point-of-sale software (experience with Booker or similar is a plus)
- Dependable, punctual, and professional
- Friendly, team-oriented, and able to handle multiple tasks at once
- A passion for beauty, wellness, or client service is a bonus
Preferred Qualifications
- Experience in a salon, spa, or retail service environment
- Familiarity with tools like Booker, Mindbody, or similar platforms
