Position Overview

Our client, a reputable business services firm, is seeking a highly organized and detail-oriented Administrative Assistant to support their operations. This role is based in our professional office environment in Location: Boise, Idaho, US. The ideal candidate will provide comprehensive administrative support to management and staff, ensuring the smooth day-to-day functioning of the office. You will be responsible for managing schedules, coordinating meetings, handling correspondence, and maintaining office organization. A proactive approach and excellent communication skills are essential for success in this role.

Key Responsibilities

  • Manage calendars, schedule appointments, and coordinate meetings for executives and team members.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Answer and direct phone calls, take messages, and manage incoming and outgoing mail and deliveries.
  • Organize and maintain physical and digital filing systems.
  • Assist with travel arrangements, including booking flights, accommodations, and transportation.
  • Manage office supplies inventory and coordinate with vendors for procurement.
  • Greet visitors and provide a professional first point of contact.
  • Provide general administrative support to various departments as needed.
  • Assist with event planning and coordination for company functions.
  • Maintain confidentiality of sensitive information.
  • Support onboarding processes for new employees.

Required Qualifications

  • High school diploma or equivalent; Associate's or Bachelor's degree preferred.
  • Minimum of 2 years of experience in an administrative support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • Professional demeanor and strong interpersonal skills.
  • Experience with office equipment (copiers, scanners, phone systems).
  • Familiarity with CRM or project management software is a plus.
  • Proactive attitude and ability to work independently with minimal supervision.
