Job Description

Position Overview

We are in the business of home ownership and are looking for a Scheduling Coordinator who will find a career home with us. This non-exempt role is for someone who loves working with details in a fast-paced and team-centered environment. You will be responsible for collaborating with multiple parties to facilitate the scheduling of closings in a timely manner. This role features a flexible hybrid work environment (1-2 days/month on-site with the remainder remote, subject to company policy).

Key Responsibilities

  • Coordinate scheduling assignments between signing agents, borrowers, and clients.
  • Handle incoming calls from signing agents, borrowers, and clients regarding scheduling.
  • Follow client-specific scripting call dialogue.
  • Meet company production, fee, and turn time standards as set by the department Manager.
  • Monitor incoming scheduling emails and complete requests for reschedules and cancellations.
  • Establish and maintain relationships with signing vendors and clients, addressing vendor payment questions/issues as necessary.
  • Communicate openly and respectfully with clients, team members, and leaders.
  • Coordinate with closing teams regarding unscheduled closings and title not cleared files for approval.
  • Maintain open communication with closing team members and post-closing auditors.
  • Track and report daily work to the team leader.
  • Answer incoming phone calls that roll to the Vendor Hotline queue.
  • Cross train in answering the company phones, CPL, Patriot Act, bankruptcy searches, Vendor Management, and Signing Only for coverage during peak times.
  • Perform all other duties as assigned.

Required Qualifications

  • High school diploma or equivalent.
  • Minimum 1-year customer service experience.
  • Excellent organizational skills with strong multi-tasking abilities in a fast-paced environment.
  • Superior written and verbal communication skills.
  • Proficiency with MS Office and standard office equipment.
