Job Description

Position Overview

Oversees accounting for contributed revenue streams and works with the Development Department to strengthen internal controls for revenue collection.

FSLA Status: Full Time, Exempt | Reports To: Controller | Compensation: $79,000-$80,000

Key Responsibilities

  • Oversee contributed revenue accounting and proactively strengthen internal controls for revenue collection.
  • Process donations and other contributed income in an accurate and timely manner.
  • Work with the Development Department to ensure accurate coding and restricted fund designations.
  • Use judgment and knowledge of restricted funds and grants to accurately release funds in accordance with donor restrictions.
  • Collaborate with donor services to ensure financial reporting meets best practice standards.
  • Implement operational efficiencies and provide consultation regarding internal controls for revenue collection and cash handling.
  • Review grant expenses with relevant departments and the development team semi-annually to ensure correct coding and budget tracking.
  • Reconcile the donor database to the general ledger on a monthly basis.
  • Reconcile endowments and investment performance monthly and provide performance reporting as needed.
  • Coordinate with endowment custodians and investment advisors to ensure prompt processing of assets, purchases, and distributions.
  • Review all endowment investment subscription agreements for accuracy and completeness.
  • Conduct financial analysis and reporting on specific endowment performance as requested.
  • Provide finance support for new endowment investments as well as redemptions.
  • Serve as the primary contact for investment managers and advisors regarding queries and correspondence.
  • Offer finance support to the grants team, including budget preplanning, creating customized reports, data analysis, and compiling final financial reports.
  • Manage projects to develop and implement policies and procedures that strengthen internal controls related to contributed income.
  • Perform financial analysis and account reconciliation for various projects.
  • Review exhibition expenses to ensure proper coding and accurate reporting.
  • Prepare finance exhibition reports, analyze actual versus budget variances, and collaborate with exhibition managers.
  • Work with the CFO to develop annual budgets for endowment payouts and restricted fund releases.
  • Assist with annual audits and preparation of tax returns.
  • Attend Audit Committee and Investment Committee Board Meetings and document minutes.
  • Contribute to delivering exceptional, welcoming, and inclusive customer service.
  • Participate in institutional learning opportunities to enhance collective understanding.

Required Qualifications

  • BA/BS in a relevant field or equivalent combination of education and experience.
  • Four years of related work experience with increasing responsibilities.
  • Solid understanding of GAAP accounting and GAAP non-profit accounting principles.
  • Ability to provide clear and digestible explanations of financial concepts to non-financial audiences.
  • Demonstrated experience exercising sound judgment in accounting management and compliance practices.
  • Proven ability to establish and maintain effective relationships with executives, management, and employees.
  • Strong prioritization, time management, problem-solving, and analytical skills.
  • Discretion in maintaining confidentiality of sensitive information.
  • Proficiency in Microsoft Office Suite, Zoom, Asana, Slack, and internet-based research.
  • Expertise in Microsoft Excel, including the creation of complex spreadsheets with formulas and pivot tables.
  • Ability to pass and maintain security background check clearance.
