Job Description

Position Overview

As a Program Coordinator at Vituity, you play a vital role in transforming healthcare by providing programmatic support for contingent provider recruiting, staffing, and deployment programs. You will work closely with physician leaders and key stakeholders to develop goals, coordinate cross-departmental workflows, and ensure that provider staffing programs run seamlessly across Practice Management (PM), Revenue Cycle Management (RCM), and clinical populations. This is a remote role serving a nationwide network.

Location: Remote, Nationwide
Compensation: $24.28 - $30.36 per hour base salary (plus eligibility for annual bonus through the Success Sharing program)

Key Responsibilities

  • Coordinate CPAC performance evaluation scheduling and related follow-up.
  • Submit and track medical license requests; maintain licensing trackers and SharePoint lists.
  • Monitor Ambassador start dates, compliance modules, and credentialing milestones, and follow up to prevent delays.
  • Document key outcomes from credentialing meetings and weekly updates, ensuring incorporation into trackers and communications.
  • Track Ambassador offer statuses and update related documentation.
  • Review mid-month hours and legal entity status; flag and escalate discrepancies to leadership.
  • Review monthly site roster reports to ensure accurate Ambassador deployments.
  • Maintain contingency staffing and deployment trackers for new sites or expanded assignments.
  • Schedule and coordinate interviews, CPAC evaluations, department meetings, and mini-orientations.
  • Coordinate and attend various departmental meetings (EM, HM, AP, New Grad) and assist with agenda preparation.
  • Arrange guest speakers for monthly department meetings.
  • Provide logistical and operational support for New Ambassador Orientation events, including session assistance and catering arrangements.
  • Represent/support the Ambassador Department at Spring Symposia and the annual Partnership Meeting.
  • Request, update, and distribute 411 Information Sheets and Practice Norms Sheets for Ambassador deployments.
  • Ensure practice-specific information remains accurate and accessible to Ambassadors and leadership.
  • Collect and submit monthly summary information for leadership reporting.
  • Provide operational and administrative support to the Supervisor, Program Coordinator, and Clinical Directors on various projects.
  • Maintain data accuracy and documentation across SharePoint, Excel trackers, and other tools.
  • Assist with special projects as needed.
  • Support designated physician program leaders with administrative tasks such as expense management, calendar and travel arrangements, meeting support, and minute taking.
  • Act as a liaison for physician program leadership to facilitate clear communication regarding program updates.
  • Perform targeted follow-up communications on behalf of physician leaders.
  • Assist physician leaders with various program projects and tasks, including scheduling and coordinating provider availability.

Required Qualifications

  • Education: High School diploma or GED.
  • Experience Required: 1-2 years of administrative experience, preferably in a healthcare/medical group setting.
  • Experience in an administrative, operations, coordination, or program support role.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and stakeholders simultaneously.
  • Proficiency with Microsoft Office (Excel, Outlook, Word, PowerPoint) and comfort with online tools and databases (e.g., SharePoint).
  • Strong written and verbal communication skills with a professional, service-oriented approach.
  • High attention to detail, accuracy, and follow-through.
  • Consistently maintains precise records, trackers, and documentation.
  • Manages competing deadlines and adapts quickly in a fast-paced environment.
  • Communicates clearly and professionally with physicians, APPs, leadership, and support teams.
  • Maintains excellent calendar hygiene and coordinates meetings across multiple stakeholders.
  • Anticipates issues (e.g., credentialing delays, schedule gaps) and proactively escalates or resolves them.
  • Demonstrates a supportive and responsive approach to internal partners and Ambassadors.
  • Analyzes data accurately and thoughtfully.
  • Troubleshoots technical or live event issues effectively.
  • Intermediate MS Excel, Word, PowerPoint, and Outlook skills.
  • Ability to use office equipment and automated systems/applications/software proficiently.
  • Excellent organizational and time management skills to handle multiple assignments under tight deadlines.
  • Ability to work independently with initiative and collaboratively within a team.
  • Ability to build rapport quickly and maintain effective relationships with diverse stakeholder groups.

Preferred Qualifications

  • 2+ years of administrative experience in provider recruiting, staffing, or scheduling.
  • Experience in healthcare, medical group operations, or similar environments working with physicians and/or advanced practice providers (APPs).
  • Experience with at least one Vituity practice line, preferably Emergency Medicine or Hospital Medicine.
  • Experience with Microsoft Power Automate or similar workflow automation tools.
  • Familiarity with tools such as Concur, Navan, and other workflow/expense platforms.
  • Experience coordinating events, meetings, or training sessions (in-person or virtual).
  • Knowledge of provider credentialing requirements.
  • Experience with project coordination/management.
  • Bachelor’s degree in Business Administration, Public Health, Human Resource Management, or a related field.
  • Video conferencing experience.
  • An eye for presenting visual material and creating engaging presentations.
  • Ability to develop and deliver effective presentations to varying group sizes.
