Job Description

Position Overview

Pay rate: $30/hour

The primary role of the Executive Administrative Assistant is to support the efforts of the General Manager and the Sensei Porcupine Creek leadership team to ensure guests are provided the highest levels of personalized service before, during and after their stay. This role assists with all necessary administrative tasks and serves as the primary administrator and onsite planner for VIPs, Repeat Guests, and Media guests. It also supports the Director of Sales and Events with Travel Agent FAM trips and the property People Operations function, while embodying the Sensei culture and philosophy in every interaction.

Key Responsibilities

  • Attend meetings and record minutes for distribution on behalf of the Executive Team.
  • Support the Director of People Operations in all HR functions.
  • Assist in the Sensei Guest Recognition Program in collaboration with the Executive Team.
  • Manage the Guest History and Guest Recognition database with close attention to detail and discretion.
  • Support the Marketing and Sales Divisions with pre-arrival and post-arrival arrangements for Media guests, Fam trips, and other VIPs (accommodations, transportation, special requests, and event coordination).
  • Assist the Operations Division in delivering exceptional service aligned with Sensei protocols and standards.
  • Oversee the guest gifting program, including inventory management and reordering notifications.
  • Help the General Manager and Marketing Division with asset requests and special event production through project management, vendor coordination, and follow-up.
  • Maintain and reorder property printed materials as needed.
  • Stay informed about local wellness, restaurant, sports, and entertainment activities.
  • Ensure staff are briefed on specialty arrivals and related protocols as directed.
  • Promote and document guest feedback, contributing to continuous process improvement.
  • Manage guest communications, including drafting correspondence based on feedback.
  • Coordinate creation of gift certificates for donations and community events.
  • Lead by example, inspiring teams in alignment with Sensei Culture and brand standards.
  • Stay updated on health and safety protocols, including COVID-19 implications.
  • Monitor and follow through on daily, weekly, monthly, and quarterly communication meetings and action items.
  • Demonstrate unwavering commitment to employee well-being and professional growth.
  • Perform additional duties as assigned by the General Manager.

Required Qualifications

  • College degree in hospitality or a related field preferred, or commensurate experience.
  • 2-3 years of experience in a luxury hotel environment preferred.
  • Excellent written, verbal, and interpersonal communication skills.
  • Professional communication style with strong business/technical writing skills.
  • Proficiency in creating and producing PowerPoint presentations.
  • Experience in event management and/or coordination is a plus.
  • Strong technology skills: proficient in Excel, Word, PowerPoint, Outlook and quick to learn new applications (e.g., Asana, Slack, OneDrive, booking systems).
  • Ability to adapt quickly to new technology implementations.
  • Maintains poise and graciousness under pressure.
