Job Description
Position Overview
The Assistant Director of Development Events and Protocol is responsible for executing centralized donor and university events and programs that communicate and celebrate Case Western Reserve University's achievements, priorities, and the impact of philanthropy. In this role, the candidate will manage all aspects of assigned events – from budget and invoice coordination to presentation preparation and relationship management – ensuring that each event meets the presidential protocol policies and standards. The position involves making independent decisions, collaborating with campus colleagues, and providing guidance on university-wide engagement events.
Key Responsibilities
- Oversee and manage event services for university functions where the president plays a significant role – including celebrations, receptions, luncheons, award ceremonies, and Board of Trustees meetings – ensuring all aspects comply with presidential protocol policies and standards.
- Manage and execute presidential events and programs at the president's residence, Harcourt House, working closely with the Director of Events and Programs to deliver successful outcomes.
- Coordinate donor, staff, faculty, and student campus events hosted by the president and/or provost by providing recommendations on list management, seating strategy, agenda and menu planning, and managing comprehensive event follow-up.
- Collaborate with the Assistant Vice President of Donor Relations and Events and directors to prioritize event strategies and support varied, complex alumni, donor, and university events.
- Lead the convocation committee for the campus-wide May convocation event by coordinating planning efforts for associated celebration activities (e.g., Clap-Out and convocation BBQ), managing volunteers, and liaising with various university offices.
- Perform additional duties as assigned, including managing student volunteer schedules and overseeing post-event follow-ups.
Required Qualifications
- Minimum of 3 or more years of experience in event planning/management, public relations or a related field.
- Bachelor’s degree is required.
- Proven ability to identify and resolve complex issues in event management and adherence to protocol.
- Strong written, communication, and interpersonal skills with capability to engage with internal and external constituencies.
- Ability to manage budgets and handle sensitive information discreetly.
- Proficiency in Microsoft Office and the capacity to learn new software programs.
- Willingness to work outside regular office hours, including evenings and weekends.
Preferred Qualifications
- Experience in higher education is desired.
- Demonstrated experience in budget management is preferred.
- Experience working with senior leadership and managing complex, multi-departmental events.
