NSS is currently in search of an experienced Executive Assistant & Office Administrator to support a client that is leading the way in workforce development and change management for government organizations. We have an opportunity that calls for an individual with a knack for turning every task into a masterpiece, someone who effortlessly combines the precision of an administrator with the nurturing spirit of a caregiver. As the Office Administrator and Executive Assistant, you will be the heartbeat of our workspace, seamlessly orchestrating the daily operations at our DC headquarters. Your proactive approach, attention to detail, and commitment to excellence will ensure leadership schedules are flawlessly managed, travel arrangements are seamless, and expenses are accurately reconciled, all while creating a welcoming, efficient office atmosphere.

In this role you will serve primarily as the Office Administrator and Executive Assistant to our VP, CEO, and occasionally other members of our leadership.

Key Responsibilities:

  • Answer and screen incoming calls, providing a professional and friendly first point of contact.
  • Greet visitors, clients, and employees, ensuring a warm and welcoming atmosphere.
  • Manage relationships with building management to maintain a smooth and efficient office environment.
  • Receive, distribute, and send mail and packages promptly.
  • Maintain a clean, organized, and inviting office space.
  • Provide high-level and detailed support to the VP and CEO by managing calendars, scheduling appointments and meetings, coordinating deliveries, and handling office closures and meeting space reservations.
  • Arrange travel for executives including flights, accommodations, and transportation with keen attention to detail.
  • Plan and organize special occasions, team celebrations, and events in collaboration with external partners when required.
  • Reconcile expenses and support finance-related tasks in adherence with company policies.
  • Offer proactive administrative and team support while occasionally assisting other executives.
  • Coordinate meeting arrangements such as catering to ensure productive sessions.
  • Handle last-minute objectives with a positive attitude and exceptional customer service, always representing the company professionally.

Required Qualifications:

  • Associate's degree in a related field preferred.
  • Proven experience as an Office Administrator and Executive Assistant.
  • Ability to adapt to changing priorities and work effectively in a fast-paced environment.
  • A proactive mindset with strong initiative.
  • Excellent organizational, multitasking, customer service, and project management skills.
  • Outstanding communication and interpersonal abilities.
  • Proficiency in MS Office Suite and office management software.
  • Discretion and confidentiality in handling sensitive information.
  • Must be a US Citizen and able to pass a background investigation prior to hire.

Benefits & Perks

  • Salary: $50,000 - $68,000, based on experience
  • Benefits: Medical/dental/vision coverage, company sponsored Life & Disability insurance, and paid vacation/sick/holidays, and more.
  • Schedule: Monday to Friday; 40 hours per week, with occasional after-hour events
  • Location: Washington, D.C.
