Job Description
Position Overview
Responsible for overseeing crew travel operations through effective planning, vendor management, and compliance oversight. This includes forecasting crew movement and port requirements, managing vendor partnerships, supporting onboarding analysis, maintaining accurate travel and hotel documentation, and ensuring financial integrity across all related processes.
Key Responsibilities
- Analyze crew movements where visa quotas are limited to ensure compliance with caps and regulations.
- Review crew movement schedules and plan corresponding port guides.
- Gather, review, and communicate port-specific requirements and visa needs.
- Run new hire reports and evaluate candidate pools to ensure diversity and alignment with staffing needs.
- Oversee Managed Service Providers/Third Party Vendors, monitoring performance to ensure contractual expectations and service standards are met.
- Manage hotel property contracts, including renewals, forecasting, and performance tracking.
- Assist with hotel vendor setup and onboarding in coordination with internal departments.
- Maintain and distribute crew port arrival information, ensuring information is accurate and updated.
- Review projected crew movements against budgeted hotel accommodation blocks; identify low-volume periods and initiate cancellations within penalty-free windows.
- Validate invoices related to hotel accommodations, travel services, and vendor agreements.
- Review crew reimbursement requests, conduct investigations as needed, and approve or deny in accordance with policy.
- Perform other job-related functions as assigned.
Required Qualifications
- Education: Bachelor's Degree in Business Administration or a combination of experience and education.
- Experience Required: Minimum 2 years of administrative experience, travel industry experience preferred.
- Qualifications: Knowledge of global geography and international visa regulations.
- Intermediate proficiency in Microsoft Office Suite, with emphasis on Outlook, Word, and Excel.
- Strong interpersonal skills along with organizational and time management capabilities.
- Requirements: Decision-making skills to evaluate requests fairly, consistently, and cost-effectively, in the best interest of the company.
- Ability to learn shipboard structure and terminology.
