Job Description

Position Overview

The Operations and Event Manager based in Nashville, TN, will support the President in overseeing the planning and execution of a major sporting event – the NTT INDYCAR Series Championship Race Weekend at Nashville Superspeedway. This role involves coordinating event operations, managing marketing activations, and ensuring a seamless experience for all stakeholders.

Key Responsibilities

  • Lead and manage event preparation and execution, including finalizing master event planning documents such as event manuals, Emergency Action Plans, planning timelines, master schedules, after action reporting, and surveys.
  • Identify and oversee annual project improvement workstreams from after-action surveys, including event improvement areas, staff assignments, work plans, progress tracking, and execution of adjustments.
  • Support grassroots marketing initiatives (e.g., Car Clubs, Youth Programming, official charities, donation management, and community programs) to engage fans and attract new audiences.
  • Manage experiential assets and ensure all marketing materials are cataloged, inventoried, and maintained properly.
  • Assist with departmental tasks such as managing email inboxes, preparing event recaps, and coordinating creative assets in Wrike.
  • Maintain partnerships with printing and promotional vendors and oversee fulfillment tracking, including obtaining logos and approvals for collateral materials.
  • Coordinate on-site documentation for post-event sponsor reports and evaluations.
  • Address all concerns and needs in a professional, efficient manner while upholding high quality standards.
  • Perform related tasks as required.

Required Qualifications

  • Bachelor's Degree preferred.
  • Minimum of 5 years' experience in event management and/or hospitality is preferred.
  • Experience in sports, sponsorship fulfillment, or related areas is a plus.
  • Excellent organizational skills and strong attention to detail.
  • Outstanding written and verbal communication skills.
  • Ability to handle multiple projects in a fast-paced, event-driven environment.
  • Proficiency in MS Office applications (Word, Excel, Outlook, PowerPoint) and related software.
  • Flexibility to work nights, weekends, holidays, and travel as required.
  • Capable of managing stressful situations in a calm and organized manner.
