Position Overview
The part-time Outreach Admin Assistant I serves as the Outreach administrative assistant for the Extension and Extended Campus, Safety and Health Program to provide professional administrative and support assistance in all aspects of the Outreach Program creation, development, operation, fiscal management, and administration. Responsible for various administrative duties in the Outreach Program requiring moderate exercise of independent judgment, initiative, and ability to make decisions relative to office operations. Maintains effective relationships and communication with management, clients, instructors, trainers, students, and staff to achieve the Outreach Program's goals and objectives and positive financial results.
Key Responsibilities
- Provides high-level administrative and managerial support handling information requests and maintaining the consistency and quality of the program.
- Assist with the daily Outreach Program operations, including reviewing and approving program reports; processing, printing, and shipping trainer and student cards; answering phone calls; student and trainer counseling; and conducting Outreach record audits.
- Performs support functions such as preparing correspondence, data entry, filing, scanning, and preparing various fiscal management reports.
- Fiscal management includes invoicing, daily deposits, managing purchase orders and refunds, and responding to inquiries.
- Assists in training and directing the work of clerical and work studies.
- Performs other duties assigned.
Required Qualifications
- Associate's Degree in a Business, Accounting, Human Resources or other business-related field.
- One (1) year of related experience, or an equivalent mix of education and relevant experience in similar role.
Preferred Qualifications
- Bachelor's degree.
- Three (3) years of administrative experience in a complex organization.
- Experience in general accounting and fiscal management.
