The Role

The Logistics Coordinator for Data Center Operations will manage the transportation, storage, and delivery of HVAC and data center equipment from source to installation site. This pivotal role ensures seamless coordination among factories, ports, carriers, and third-party warehouses, focusing on visibility, accuracy, and compliance throughout all shipment stages. Your efforts will directly influence project execution, guaranteeing timely material flow to meet our customers' tight deadlines.

Key Responsibilities:

  • Transportation Coordination:
    • Plan, schedule, and monitor both international and domestic shipments, including customs clearance and delivery.
    • Maintain proactive communication with freight forwarders and carriers to ensure adherence to schedules.
    • Address and resolve shipment issues promptly to prevent project delays.
  • Warehouse & Inventory Management:
    • Oversee inbound receipts, warehouse transfers, and outbound shipments with third-party logistics (3PL) providers.
    • Ensure inventory accuracy through proper documentation, labeling, and reconciliation with schedules.
    • Conduct physical inspections and document damages as necessary.
  • Carrier & Vendor Relations:
    • Serve as the primary point of contact for carriers, warehouses, and logistics partners for daily coordination.
    • Track vendor performance and costs to established KPIs.
    • Support sourcing by identifying opportunities for service improvement.
  • Project Logistics Enablement:
    • Collaborate with Project/Account Managers to provide visibility, confirmation, and reporting of shipments and milestones.
    • Maintain dashboards and reports of shipments in progress, including any delays or exceptions.
    • Assist field, trucking, and warehouse teams in preparation for equipment arrivals.
  • Compliance & Documentation:
    • Ensure compliance with import/export, safety, and environmental regulations.
    • Maintain accurate shipment records, customs documentation, and related fees.
    • Keep detailed logs of issues encountered.
    • Ensure all logistics documentation is ready for audit and compliant with company policies.
  • Performance Metrics & Reporting:
    • Develop and manage dashboards tracking delivery performance, transit times, and logistics costs.
    • Analyze patterns and root causes, proposing process enhancements.
    • Deliver summaries to management outlining trends and corrective measures.
  • Cost Control & Billing:
    • Reconcile invoices to agreed rates, highlighting discrepancies for vendor resolution.
    • Contribute to initiatives aimed at cost reduction and service optimization.
  • Continuous Improvement:
    • Engage in process development for new tools, systems, and reporting platforms.
    • Suggest improvements for tracking systems and documentation workflows.
    • Support internal automation initiatives using ERP, Airtable, or Power BI for improved logistics transparency.

Requirements:

  • 3-5 years of logistics coordination, supply chain, or import/export experience.
  • Strong background in both international and domestic logistics.
  • Demonstrated ability to handle multiple shipments and deadlines effectively.
  • Proficiency in Excel and digital tracking systems (ERP, CRM, etc.).
  • Excellent organizational, analytical, and communication skills.
  • Meticulous attention to detail with a strong problem-solving approach.

Preferred Qualifications:

  • Associate degree in Logistics, Supply Chain, or a related field.
  • Familiarity with data visualization tools (e.g., Power BI, Airtable dashboards).
  • Experience coordinating equipment for HVAC or construction projects.
  • Understanding of vendor scorecards and KPI reporting.

Physical Requirements:

  • Primarily office-based, with significant computer use.
  • Occasional domestic travel to warehouse or vendor locations.
  • Ability to lift up to 25 lbs. occasionally.

Compensation:

$50,000 - $75,000 Hourly Wage
