Position Overview
Salary: $20-22 DOE
Schedule: April - October
The Haines Administrative Assistant plays a key role in carrying out our company mission of providing every guest with a safe, enjoyable, and educational wilderness experience. This position supports day-to-day operations through phone and radio dispatch, scheduling, sales, cruise ship correspondence, dock representation, and ensuring guides complete both their jobs and corresponding paperwork. The role also contributes to sales and logistical efforts for our long trip programming.
Key Responsibilities
- Reports to Haines Program Manager.
- Assists the Haines Office Manager in running daily operations, including guide scheduling.
- Manages radio dispatch and general office phone reception.
- Provides dock representation and helps with allotment management using BaseCamp.
- Handles correspondence with partners, including cruise lines and local businesses.
- Oversees trip paperwork management, merchandise inventory, sales, and data entry.
- Confirms and approves settlement sheets between cruise lines and the accounting department.
- Assists Operation and Program Managers with company meeting agendas and guide time sheet approvals.
Required Qualifications
- Prior office and/or tourism experience preferred.
- Proficiency in Outlook and Microsoft Office products.
- Clean driving record with eligibility for company auto insurance.
- Basic first aid and CPR certification, or willingness to obtain certification.
- Ability to think quickly and solve problems effectively.
- Willingness to assist in additional areas as needed, including driving/guiding tours, expedition sales, and supporting the Skagway office.
