Job Description

Position Overview

United Systems, located in Oklahoma City, OK, is seeking a Sales and Marketing Assistant to support our sales team through administrative coordination, customer engagement, and operational assistance. In this fast-paced role, you’ll work across Sales, Marketing, Administration, and Procurement to manage customer communications, streamline sales operations, and aid in marketing initiatives. You will be joining a trusted, forward-thinking technology partner with a 40-year legacy.

Key Responsibilities

  • Prepare, format, and deliver customer quotes, proposals, and sales orders in a timely manner.
  • Maintain and update customer, lead, and sales opportunity data in the CRM system.
  • Provide administrative support to Sales Account Managers including scheduling and calendar management.
  • Assist in refining sales procedures and internal processes for improved efficiency.
  • Coordinate with Accounting, Service, Purchasing, and Installation teams for order processing and project execution.
  • Manage customer licensing and support renewals.
  • Handle customer communications with professionalism and promptness.
  • Monitor and document customer satisfaction through follow-ups and feedback collection.
  • Build trusted relationships with both customers and vendors.
  • Contact prospective customers to arrange meetings or introductions for the sales team.
  • Support the creation and distribution of marketing materials and campaigns.
  • Plan and participate in trade shows, conferences, and promotional events.
  • Complete monthly and quarterly state contract reporting.
  • Order and maintain office supplies, drinks, and snacks, restocking as needed.
  • Assist with employee recognition communications (certifications, birthdays, work anniversaries).
  • Coordinate with internal teams to support general office and administrative operations.
  • Perform other duties as assigned by the Sales Manager.

Required Qualifications

  • Experience in sales support, administrative assistance, or a similar role (experience in MSP or IT industry preferred).
  • Proficiency in CRM systems such as ConnectWise, HubSpot, or Salesforce.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills with a customer-centric approach.
  • Proficiency with Microsoft Office 365 Suite.
  • Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
  • Ability to handle physical requirements, including occasionally lifting up to 25 pounds.

Preferred Qualifications

  • Experience supporting marketing activities such as trade shows, campaigns, or outreach.
