Position Overview

In this role, you will provide proactive administrative and analytical support to the Pittsburgh Office, the Regional Director, and other office professionals, working mostly onsite (with occasional remote days in Pittsburgh, PA).

Key Responsibilities

  • Provide comprehensive client and Relationship Manager support by acting as the initial point of contact for inquiries, handling routine to moderately complex client matters, and offering team-based backup.
  • Process daily transactions including securities transfers, cash and check requests, deposits, gift processing, and routine client information updates; monitor daily reports for accuracy and follow-up.
  • Coordinate client meetings by scheduling, arranging dining, travel, and related activities, as well as managing daily schedules and preparing meeting materials.
  • Perform administrative and analytical support including managing emails and telephone traffic, organizing mail, preparing Vision and expense reports, drafting correspondence, and maintaining office supplies and appearance.
  • Participate in firm building initiatives by contributing to projects and solutions that enhance team and business capabilities, and perform other duties as assigned.

Required Qualifications

  • Bachelor’s degree or equivalent experience required.
  • Minimum of three years of relevant work experience in a financial services environment preferred.

Preferred Qualifications

  • Excellent verbal and written communication skills.
  • Proven ability to maintain confidentiality and discretion.
  • Mastery of Microsoft Office and the ability to adapt to IT applications as needed.
  • Knowledge of a Client Relationship Management (CRM) system; Salesforce.com is preferred.
  • Professional presence with a proactive approach, strong organizational skills, and the ability to work well under pressure with high attention to detail.
