Position Overview

Location: Chicago, Illinois. Business Unit: Rush Medical Center. Hospital: Rush University Medical Center. Department: Int Med Gastroenterology PBC. Work Type: Full Time (Total FTE between 0.9 and 1.0). Shift: Shift 1. Work Schedule: 8 Hr (8:00:00 AM - 4:30:00 PM). Compensation (Pay Range): $17.63 - $27.77 per hour. Under direction of the Operations Manager, performs a number of support services to coordinate scheduling patients for surgery. The Perioperative Scheduler acts as liaison between patients, department staff, and RUMC OR staff teams. The surgical scheduling coordinator exemplifies the Rush mission, vision, and values and acts in accordance with Rush policies and procedures.

Key Responsibilities

  • Schedules, reschedules, or cancels surgical appointments.
  • Communicates with surgical candidates to set up appointments, provide pre-operative information, explain surgical requirement timelines, and answer insurance-related questions.
  • Coordinates surgical scheduling information flow into and out of the clinic.
  • Maintains a direct communication line with key OR staff.
  • Contacts outside agencies to retrieve insurance preauthorization and other necessary medical documentation.
  • Keeps open communication lines with scheduled patients and medical staff to resolve missing information.
  • Solves scheduling problems by seeking appropriate people and resources.
  • Answers telephone calls efficiently and courteously, routing calls or providing information as needed.
  • Updates the electronic medical record appropriately.
  • Assists as part of the surgical scheduling team and accepts other duties as requested.
  • Handles office details including mail processing, preparation of surgical documents and packets, filing, fax management, and creating duplicate copies of forms.
  • Exemplifies professionalism through courteous communication with departmental staff, clinical staff, physicians, and visitors.
  • Performs duties to assist the medical staff independently under management direction.

Required Qualifications

  • High School Diploma.
  • Manual dexterity, effective communication, precision, and accuracy.
  • Intermediate knowledge of Microsoft Office Suite; Epic software knowledge is an advantage.
  • Ability to communicate well with patients and all levels of staff.
  • Able to manage multiple tasks simultaneously.
  • Works well individually and as part of a team.

Preferred Qualifications

  • Certified Medical Assistant experience.
  • Three years of medical office experience.
  • Experience obtaining prior authorizations and knowledge of insurance authorization processes.
