Job Overview

We are seeking a dynamic and detail-oriented Medical Office Administrative Assistant to join our healthcare team. This vital role involves providing exceptional administrative support within a busy medical practice, ensuring smooth daily operations and outstanding patient service. The ideal candidate will be energetic, highly organized, and possess a strong understanding of medical office procedures and electronic health record (EHR) systems. Your proactive approach will help facilitate efficient clinic workflows, accurate documentation, and seamless communication between patients and healthcare providers.

Customer service, excellence, and concierge-level solutions-based thinking are required.

Duties

  • Manage patient scheduling using EHR system (eClinicalWorks) to optimize clinic flow
  • Assist with patient intake processes including data entry, updating medical records, and collecting necessary documentation
  • Handle front desk responsibilities such as greeting patients, answering multi-line phone systems with professional phone etiquette, and managing appointment confirmations
  • Assist, at times, with basic medical billing and collections
  • Review clinical documentation for accuracy and completeness in compliance with HIPAA regulations and health information management standards
  • Maintain organized medical records and ensure proper filing of patient charts while adhering to confidentiality protocols
  • Support care plan coordination by assisting clinicians with documentation review and data entry in EMR system
  • Provide excellent customer service by addressing patient inquiries promptly and professionally
  • Being an all-star team player

Qualifications

  • Proven experience in a medical office setting preferred. Other strong customer service experience considered
  • Proficiency with EMR/EHR system is highly desirable
  • Knowledge of HIPAA regulations related to health information management and patient privacy standards
  • Strong computer skills including Microsoft Office Suite (Word, Excel), typing, and familiarity with email and calendar management
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Bilingual abilities are a plus to better serve diverse patient populations
  • Previous clinic or dental office experience is preferred; familiarity with insurance verification processes and medical administrative support is very helpful
  • Outstanding communication skills with professional phone etiquette and customer service orientation
  • Ability to review clinical documentation accurately while maintaining attention to detail in recordkeeping

Pay: $18.00 - $25.00 per hour
