Position Summary
We are seeking a dependable, detail-oriented, and client-focused Administrative Assistant to join our team.
This role blends front-office leadership with internal systems coordination. You will serve as the first impression of the firm while also managing key administrative processes that keep our practice running smoothly.
The right candidate is organized, proactive, tech-comfortable, and takes ownership of their responsibilities.

Primary Responsibilities
- Serve as receptionist and “face of the firm”
- Communicate professionally with clients, prospects, and referral partners
- Manage new client intake and follow-up communication
- Maintain attorney calendars and scheduling
- Oversee CRM and workflow systems (Clio and Constant Contact)
- Prepare and send engagement agreements and invoices
- Maintain organized digital and physical client files
- Manage incoming mail and firm email inbox
- Support internal office systems to ensure efficient daily operations
Performance Expectations:
- Respond to client inquiries within one business day
- Maintain highly accurate records and documentation
- Handle confidential information with discretion
- Manage multiple priorities in a deadline-driven environment
Required Qualifications
- Minimum of two years of professional office or customer service experience
- Excellent written and verbal communication skills
- Strong organizational ability and attention to detail
- Proficiency in Microsoft Word and Excel
- Comfortable learning and using CRM and workflow platforms
- Bachelor’s degree preferred, or equivalent professional experience
