Job Description

Position Overview

This full time role is located inChicago, Illinoisat Rush University Medical Center within the Breast Imaging Technical Department of the Rush Medical Center Business Unit. The position manages the daily operations of a clinic including staff management, general administration, financial activities, and project management. The candidate is expected to exemplify the Rush mission, vision, and ICARE values while adhering to Rush policies and procedures. Work Schedule is 8 hours (8:00 AM – 4:30 PM) on Shift 1.

Key Responsibilities

  • Manages patient/clinic flow including physician schedules, check-in and check-out processes, time of service, payments on account, patient communications, referrals, pre-authorizations, coordination and management of surgical workflows, and other operational duties.
  • Manages staff including hiring, on-boarding, coaching, counseling, performance reviews, payroll, staffing, communications, and related activities.
  • Designs, implements, and supports RUMC and RUMG policies and procedures; reviews workflows and metrics and recommends necessary changes.
  • Acts as liaison to clinical staff, hospital departments, Rush Health, and others to ensure timely and accurate completion of required processes.
  • Oversees collections activities and office expenses to meet budget targets.
  • Assists the Administrator/Manager with projects including process and operational planning and financial and performance analysis, while assuming a leadership role in their absence.
  • Ensures compliance with all regulatory and accrediting agencies, proper maintenance of medical records, and administration of clinical trials.
  • Oversees maintenance and functioning of all office equipment.
  • Performs non-clinical duties as needed to ensure efficient patient clinic flow.
  • Supports and performs all duties of reporting staff.
  • Promotes a positive and productive environment, encouraging teamwork and open communication.
  • Acts as a role model in upholding customer service standards.
  • Ensures staff achievement of RUMG Customer Service and Performance Standards.
  • Compiles and maintains various databases of referral sources, community groups, and specialty organizations.
  • Collaborates with the marketing department to educate the community and market Rush locally.
  • Establishes cooperative relationships with program physicians, nurses, referral sources, ancillary departments, hospital administration, and related agencies to facilitate seamless patient care.
  • Creates and maintains the web presence of The Rush Midlife Center for Women.
  • Other duties as assigned.

Required Qualifications

  • High school diploma.
  • Minimum two years of healthcare experience.
  • Expert knowledge of duties performed in the area of responsibility and a thorough understanding of ideal patient flow.
  • Knowledge of revenue cycle requirements.
  • Good managerial, leadership, and organizational skills.
  • Excellent customer service, interpersonal, written, and oral communication skills.
  • High attention to detail and accuracy.
  • Proficiency in basic Microsoft Office programs; advanced skills in Excel.
  • Ability to implement change, prioritize, and multi-task in a fast-paced environment.
  • Open-mindedness and willingness to facilitate change.
  • Ability to work effectively with minimal supervision and within a team environment.

Preferred Qualifications

  • Associate degree or Bachelor's degree.
  • Previous management experience.
