Office Manager
Position Overview
The Office Manager will administer the daily operations and activities for the Office of the Attorney General's (OAG) Dallas Office. Work involves establishing goals and objectives, developing guidelines, procedures, and rules; setting schedules, priorities, and standards for achieving established goals; coordinating and evaluating business functions, divisions, or department activities; developing and evaluating budget requests; and monitoring budget expenditures. Key Responsibilities
- Plans, directs, coordinates, and monitors administrative activities of the division Houston Office, including serving as the division's executive administration liaison, procurement liaison, and public information coordinator liaison; maintains official records in compliance with the agency's Records Retention Schedule; performs budget-related activities under close supervision; prepares travel vouchers and related documentation; oversees inventory, office space, and telecommunication needs; attends meetings and training; submits legal billing reports and special division updates; and coordinates orientation and offboarding for employees.
- Assists the Director of Operations/division chief/deputy chief with administrative duties such as maintaining calendars using Outlook, scheduling meetings and appointments, drafting communications using Microsoft Word, attending meetings, and responding to telephone inquiries.
- Performs related work as assigned.
- Maintains the relevant knowledge necessary to perform essential job functions.
- Attends work regularly in compliance with the agreed-upon schedule.
- Ensures the security and confidentiality of sensitive and/or protected information.
- Complies with all agency policies and procedures, including those pertaining to ethics and integrity.
Required Qualifications
- Graduation from high school or equivalent.
- Bachelor's degree from an accredited college or university; or equivalent experience in roles such as legal assistant, office manager, or executive assistant.
- Seven years of full-time experience in positions such as legal assistant, office manager, executive assistant, or administrative assistant.
- Proficiency in Outlook, Excel, and Word; and knowledge of public administration and management principles.
- Ability to handle multiple tasks, prioritize effectively, and meet deadlines.
- Strong oral and written communication skills, including report preparation.
- Sound judgment and effective decision-making skills.
- Competence in computer-based word processing and data entry/retrieval.
- Ability to establish and maintain effective working relationships with all levels of staff.
- Capability to manage day-to-day business functions for a division or department.
- Experience in planning, assigning, and supervising the work of others.
- Proven ability to set goals, identify, and solve administrative problems.
- Experience in developing and evaluating administrative policies and procedures.
- Receptiveness to constructive feedback.
- Ability to work cooperatively in a professional office environment and provide excellent customer service.
- Must work in person at the assigned OAG location, performing tasks as designated within the workspace.
- Ability to arrange for personal transportation for business-related travel.
- Availability to work more than 40 hours as needed and in compliance with the FLSA.
- Ability to lift and relocate up to 30 lbs.
- Ability to travel (including overnight travel) up to 5%.
