Position Overview
The Department of Otolaryngology at the University of Miami is seeking a full time Sr. Administrative Assistant in Miami. The role involves performing a variety of clerical functions and office support activities to facilitate the efficient operations of the department. Job Status: Full time | Employee Type: Staff.
Key Responsibilities
- Supports department leadership with daily clerical tasks.
- Collects, reviews, and analyzes complex and/or confidential data to prepare reports, charts, budgets, and other presentation materials.
- Responds to or routes non-routine, priority, or confidential inquiries from external or internal sources on behalf of department leadership.
- Plans meetings, takes detailed minutes, and schedules appointments while updating calendars.
- Answers phone calls, provides information to callers, and connects them to the appropriate staff.
- Makes travel arrangements and reservations for department leadership and staff, as needed.
- Composes correspondence; creates spreadsheets and presentations.
- Greets and provides general support to visitors while maintaining an organized filing system.
- Adheres to University and unit-level policies and safeguards University assets.
- Manages department-specific functions such as completing credentialing and licensing renewals, uploading CME credits, processing reimbursements, preparing documents and financial forms, and handling patient appointments and inquiries.
- Coordinates the distribution of mail and monitors projects to successful completion.
Required Qualifications
- High school diploma or equivalent required.
- Minimum 3 years of relevant experience.
- General knowledge of office procedures and operations.
- Ability to accurately prepare and maintain records, files, reports, and correspondence.
- Effective oral and written communication skills.
- Proven ability to maintain effective interpersonal relationships and discretion with confidential information.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office and other productivity software.
