Job Description

Position Overview

Transdev, a global leader in mobility operating in 19 countries, is seeking an Executive Administrator for the CEO. In this role, you will enable the CEO and C-suite executives to focus on strategic initiatives by providing efficient and professional administrative support. Location: Cincinnati, Ohio. Salary: $80,000 - $95,000 Annually. This full-time position involves managing executive calendars, arranging travel, coordinating communications, and supporting overall office operations. Key Responsibilities

  • Serve as a liaison between executives and department heads by organizing meeting logistics, preparing presentations, and summarizing outcomes.
  • Manage the complex calendars of the CEO and other C-suite members by scheduling meetings, appointments, and conference calls.
  • Arrange travel logistics including booking flights, hotels, transportation, and preparing detailed itineraries while managing travel expenses and reimbursements.
  • Collaborate with senior leadership on strategic planning and project management to ensure alignment with organizational goals, timelines, and budgets.
  • Oversee executive communications by managing email accounts, drafting responses, and handling correspondence promptly.
  • Prepare, edit, and format documents including presentations, reports, memos, and proposals while adhering to company standards.
  • Represent the executive team in internal and external communications, draft announcements, and foster relationships with key stakeholders.
  • Lead special projects and ad-hoc initiatives involving high-level research, analysis, and reporting as assigned.
  • Oversee general office operations and administrative tasks such as ordering supplies and coordinating maintenance for a smooth-running environment.

Required Qualifications

  • Demonstrated strong organizational skills with the ability to manage and prioritize multiple tasks seamlessly while maintaining excellent attention to detail.
  • Exceptional interpersonal skills with proven experience in written and verbal communications, and the ability to handle confidential information with discretion.
  • Advanced proficiency with Outlook (including mail merge, conditional formatting, and template creation) and other standard office software.
  • Education: High School Diploma required, Bachelor's Degree preferred.
  • Must be willing to undergo drug testing and a background check as part of pre-employment requirements.
  • Ability to meet high-performance goals and manage deadlines in a fast-paced environment; travel requirement outside the immediate area is less than 5%.

Preferred Qualifications

  • Experience Required: Six or more years of executive administrative assistant experience supporting the Executive Level.
