Accounting Clerk / Administrative Assistant job at Get It Recruit - Executive
Saint Louis, MO. We are seeking a detail-oriented and organized Accounting Clerk / Administrative Assistant to join our team in a part-time capacity. In this dual-role position, you will provide essential support to our Chief Financial Officer (CFO) and Chief Operating Officer (COO) by managing key accounting tasks and delivering high-level administrative assistance. Your ability to efficiently handle a diverse range of responsibilities in a fast-paced environment will be vital to our success.
Responsibilities:
Accounting Duties (50%):
- Oversee accounts payable (AP) and accounts receivable (AR) processes, including invoicing, tracking payments, and following up on overdue accounts.
- Conduct monthly bank reconciliations and resolve any discrepancies that arise.
- Process supplier invoices, ensuring timely and accurate payments while maximizing early payment discounts when available.
- Generate and distribute financial reports such as balance sheets, income statements, and cash flow statements.
- Assist in audit preparations by providing necessary financial documentation and information.
- Ensure compliance with accounting policies, procedures, and relevant regulations.
- Maintain accurate financial records and perform data entry tasks related to accounting.
Administrative Duties (50%):
- Provide executive support to the CFO and COO by managing calendars, scheduling meetings, and handling various administrative tasks.
- Prepare meeting agendas, take minutes during executive meetings, and follow up on action items.
- Assist in preparing presentations, reports, and financial summaries for both internal and external meetings.
- Handle confidential information with discretion, ensuring the security and confidentiality of financial and company data.
- Facilitate communication between the executive team and other departments, clients, and stakeholders.
- Conduct research and gather data to support decision-making processes for the CFO and COO.
- Perform other administrative duties as needed to support the effective functioning of the leadership team.
Job Qualifications:
- High school diploma or equivalent; additional coursework in accounting or administrative support is preferred.
- Experience in accounting, bookkeeping, and/or executive assistant roles is required.
- Proficiency with accounting software (NetSuite preferred) and office productivity software (Microsoft Office, Google Workspace).

Work Requirements:
- Hours: This is a part-time position, typically requiring 20-25 hours per week.

- Physical Demands: Primarily a sedentary role, with occasional lifting of office supplies up to 20 pounds.
- Flexibility: Ability to adjust working hours as needed to meet deadlines and support the CFO and COO during peak periods.
