Job Description
Position Overview
The Patient Coordinator I greets and establishes first contact with patients – either in person or via telephone – and updates their demographics and insurance information. This role ensures that patients have the appropriate insurance for the physician they are seeing while facilitating smooth clinical operations.
Key Responsibilities
- Greet patients in person or via telephone and update their insurance and demographics in the practice management system.
- Confirm that the physician accepts the insurance presented; verify insurance prior to or at the time of patient arrival if needed.
- Communicate with appropriate staff regarding patient arrival and ensure that medical records are available for the physician.
- Process and update HIPAA-related paperwork and other institutional forms as necessary.
- Collect or retrieve referrals or insurance authorizations as required.
- Monitor the waiting room and keep patients advised of wait times on a routine basis.
- Ensure that patients have paid co-pay or collect co-pay under the direction of billing staff, providing receipts per established cash-control processes.
- Schedule follow-up appointments as needed and provide patients with guidelines for requesting medical records.
- Perform simple charge entry tasks or enter payments collected from patients and prepare Cashier deposits (duties are mutually exclusive).
- Perform in a call center capacity (Faculty Practice Associates).
- Answer phones for the practice and schedule appointments.
- Adhere to all HIPAA and governmental or state agency requirements regarding the handling of PHI documents.
- Initiate reminder phone calls for next-day appointments as necessary.
- Perform other related duties as assigned.
Required Qualifications
- High School graduate or GED
- At least 1 year of physician practice experience
- Must complete a minimum of one week of on-site training provided by the practice
Preferred Qualifications
- Experience in a medical office setting utilizing a computer system for physician scheduling

- Compensation: The salary range for the role is $17.2905 - $25.9052 Hourly. Actual salaries depend on factors including experience, education, and operational need. This range does not include bonuses, incentive or differential pay, or other forms of compensation and benefits.
