Responsibilities
- Manage the CEO’s calendar with precision, scheduling meetings, appointments, and travel arrangements using tools like Microsoft Outlook Calendar.
- Provide executive administrative support by preparing correspondence, reports, and presentations with accuracy and professionalism.
- Coordinate projects and events from planning through execution, including logistics, vendor communication, and follow-up tasks.
- Handle complex phone systems with excellent phone etiquette, screening calls and directing inquiries appropriately.
- Maintain organized filing systems both digitally and physically, ensuring easy access to important documents.
- Conduct proofreading and transcription of documents to ensure clarity and accuracy in all communications.
- Facilitate communication between departments by coordinating meetings, preparing agendas, and distributing information efficiently.
- Use office software like Microsoft Office Suite (Word, Excel, PowerPoint) to create professional documents and reports.
- Support personal assistant responsibilities for the CEO as needed, including handling confidential information discreetly.
Qualifications
- Proven experience as an executive assistant or in a similar administrative role supporting senior leadership.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Excellent typing speed combined with proficiency in data entry and clerical tasks.
- Demonstrated experience with office management software such as Microsoft Office Suite (Word, Excel, PowerPoint).
- Exceptional communication skills with professional phone etiquette across multi-line phone systems.
- Familiarity with project coordination and event planning processes from conception to completion.
- Strong attention to detail combined with excellent organizational skills to manage multiple priorities simultaneously.
