Position Overview

Location: Chicago, Illinois • Business Unit: Rush Medical Center • Hospital: Rush University Medical Center • Department: Cancer Service Line-MDA RUSH • Work Type: Full Time (Total FTE between 0.9 and 1.0) • Shift: Shift 1 • Work Schedule: 8 Hr (9:00AM - 5:30PM). Compensation: $16.48 - $23.28 per hour. Rush salaries are determined by many factors including, but not limited to, education, job-related experience and skills, as well as internal equity and industry specific market data. The Pathology Administrative Assistant provides support in managing the operational activities of Pathology. This role prioritizes a variety of projects across multiple cost centers in a constantly changing environment, coordinates office management routines, manages designated administrative matters and record keeping systems, and provides comprehensive administrative support services while exemplifying the Rush Mission, Vision, and Values.

Key Responsibilities

  • Maintain department documents, including filing blocks and slides and organizing shipment to and from warehouse storage as needed.
  • Photocopy documents as requested.
  • Demonstrate competency in the use of office equipment, hardware, and software.
  • Assist in the maintenance and use of office equipment and supplies.
  • Take and triage phone messages.
  • Prepare and review requisitions, vouchers, forms, and generate clerical records and reports related to operations.
  • Contribute to teamwork in a positive, customer-focused manner while demonstrating flexibility, initiative, and confidentiality.
  • Compose business correspondence and handle routine departmental as well as additional correspondence.
  • Independently contact and follow up with in-house departments (e.g., telecommunications, engineering, housekeeping) regarding service issues.
  • Organize and assimilate pathology case materials and paperwork, documenting receipt and updating the database as pre-accession actions are taken.
  • Perform thorough reviews of associated paperwork and initiate requests for any additional materials or reports needed.
  • Prepare documentation for cases sent outside the institution for consultation or reference testing.
  • Collect, store, and correctly document any materials subject to legal review by the Risk Management Department.

Required Qualifications

  • High School Diploma or equivalent.
  • Knowledge of Excel and/or other spreadsheet programs.
  • Proficiency in software packages such as Access, email, PowerPoint, and basic graphics.
  • Analytical ability.
  • Proven ability to work in complex administrative systems.
  • Excellent communication skills with the ability to interact effectively with internal and external customers.
  • Ability to check documents for errors.

Preferred Qualifications

  • Work requires the ability to walk throughout the Medical Center.
  • Work requires lifting or carrying objects 35-40 lbs.
