Key Responsibilities

  • Coordinate logistics services by sourcing freight providers, requesting quotes, determining optimal shipping methods and locations, and preparing bills of lading and shipment documentation.
  • Provide accurate and timely information to customers and sales representatives regarding inventory availability, order status, pricing and shipping details.
  • Prepare documentation for international shipments and serve as the primary contact for international customers, particularly in Canada.
  • Support international container shipment by ensuring proper loading procedures, documentation signatures, seal placement, and paperwork completion.
  • Collaborate with production planning to ensure warehouse inventory levels meet customer demand and order fulfillment timelines.
  • Process and verify credit card payments securely and accurately.
  • Respond to customer inquiries related to products, billing, freight, and other service-related matters.
  • Work closely with freight vendors to secure competitive pricing and maintain strong vendor relationships.
  • Handle special requests from sales representatives, including R&D samples, sales data, and inventory reports.
  • Request debt insurance coverage for customers and submit claims for overdue accounts when necessary.
  • Arrange domestic and international freight for customer orders.
  • Receive and process all domestic and incoming orders, releasing stock for collections as appropriate.
  • Maintain confidentiality and protect sensitive organizational information.
  • Conduct credit checks on new customers and report findings to management.
  • Maintain accurate records by scanning and distributing invoices, debit memos, and credit memos to customers.
  • Perform other duties as assigned to support departmental and organizational goals.

Required Qualifications

  • Bachelor’s degree in business administration, accounting, finance or equivalent experience.
  • Minimum two years’ experience in customer service, logistics, or a related field.
  • Ability to solve issues related to orders.
  • Basic understanding of debt insurance administration and domestic as well as international shipping procedures.
  • Familiarity with inventory management systems and order processing workflows.
  • Knowledge of customer service principles and practices.
  • Basic understanding of credit card processing and financial transactions.
  • Experience with debt insurance processes and carrying out credit checks.
  • Strong written and verbal communication skills for interacting with customers, vendors, and internal teams.
  • Excellent organizational and time management skills with the ability to prioritize effectively.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and ERP/CRM systems.
  • Attention to detail in preparing shipping documents, processing payments, and maintaining records.
  • Problem-solving skills to address customer issues and logistical challenges.
  • Ability to analyze freight quotes and negotiate competitive pricing.
