Position Overview

Loretto Hospital is a safety-net hospital serving more than 33,000 patients each year in Chicago’s Austin and surrounding communities. Established in 1923 as a not-for-profit community-focused healthcare provider, Loretto Hospital is committed to providing patient-centered, holistic, and safe health care. We are currently seeking a Ward Clerk for our Med/Surg Department. In this role, you will assist the charge nurse by coordinating patient care flow, maintaining accurate records, managing communications, and ensuring a safe and orderly environment while supporting patients, visitors, and staff.

Key Responsibilities

  • Answers phone calls courteously and efficiently, directing or relaying messages to the appropriate staff.
  • Transcribes designated non-medication physician orders accurately.
  • Maintains all medical records with appropriate forms, posts lab and X-ray reports, and organizes chart documents correctly.
  • Utilizes computer system functions for admissions, transfers, discharges, requisitions, charges, and order entry.
  • Ensures adequate supplies of forms (flow sheets, consents, restraint forms, standing orders, protocols, progress notes, etc.) are available in the unit.
  • Posts reminders and maintains the communication book, logs, and bulletin boards.
  • Monitors and maintains stock levels of supplies and equipment, anticipating changing demands.
  • Assists in cleaning, straightening, or organizing staff spaces on the unit.
  • Informs visitors and guests about unit policies including visiting hours, patient confidentiality, and other regulations.
  • Completes work orders and follows up with the charge nurse and Clinical Director regarding equipment issues or safety concerns.
  • Adheres to Loretto Hospital’s compliance standards, including following the Compliance Policy, Code of Conduct, and Conflict of Interest Policy.
  • Keeps current with all pertinent federal, state, and hospital regulations, laws, and policies.
  • Ensures staff receive training and evaluation on compliance policies and procedures relevant to their roles.
  • Performs other duties as assigned.

Required Qualifications

  • High School Diploma or GED Required
  • Current BLS Certification
  • Proficient clerical skills including filing, phone handling, and copying with clear, concise communication abilities.
  • Effective communication skills and accurate mathematical calculation ability.
