Job Description
Position Overview
Medable is on a mission to get effective therapies to patients faster through innovative, cloud‑based solutions that support clinical research and healthcare delivery. In this role as an Administrative Assistant, you will support efficient office operations and assist managers, colleagues, and visitors by handling a broad range of administrative tasks while upholding strict confidentiality.
Key Responsibilities
- Provide office support to ensure efficient office operations
- Support managers and employees with organizational and communication tasks
- Handle confidential and time‑sensitive material
- Apply a broad understanding of industry concepts, practices, and procedures
- Communicate effectively via phone and email, ensuring accuracy and high quality
- Use experience and judgment to plan and accomplish goals with creativity and latitude
- Answer and direct incoming phone calls
- Organize and schedule meetings and appointments
- Maintain contact lists
- Produce and distribute memos, letters, faxes, and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Book travel arrangements and manage related logistics
- Submit and reconcile expense reports
- Provide general support to visitors and answer inquiries
- Handle multiple projects simultaneously
- Prepare and monitor invoices
- Ensure operation of equipment by completing preventive maintenance, calling for repairs, and evaluating new techniques
- Carry out administrative tasks such as filing, typing, copying, binding, scanning, and dictation
- Book conference calls, rooms, taxis, couriers, hotels, etc.
- Maintain computer and manual filing systems
- Handle sensitive information with confidentiality
- Respond to inquiries via email, telephone, or face‑to‑face interactions
- Resolve administrative problems as they arise
- Receive, sort, and distribute mail and email
- Photocopy and print documents for colleagues
- Perform other duties as assigned
Required Qualifications
- Excellent time management skills with the ability to multi‑task and prioritize work
- Attention to detail and strong problem‑solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- 0‑3 years' experience as an administrative assistant or equivalent combination of education and experience
Preferred Qualifications
- Proven admin or assistant experience
- Knowledge of office management systems and procedures
